1. Job Purpose

The Finance Head will be responsible for managing the overall financial operations of the organization, ensuring proper accounting, cash-flow management, statutory compliance, financial controls, budgeting, project finance, MIS reporting, and timely financial information to management for effective decision-making.
1. Key Roles & Responsibilities

A. Financial Planning & Management
- Develop and monitor the organization's annual financial plans, budgets, and forecasts.
- Prepare financial projections and cash-flow forecasts.
- Monitor revenue, expenditure, profitability, working capital, and financial performance.
- Ensure optimum utilization of company funds and financial resources.
- Identify financial risks and recommend appropriate corrective actions.
- Support management in financial planning and strategic decision-making.

B. Accounting & Financial Controls
- Oversee day-to-day accounting and finance operations.
- Ensure accurate and timely recording of all financial transactions.
- Review general ledger, journal entries, bank reconciliations, receivables, payables, advances, and provisions.
- Establish and maintain appropriate financial controls and approval processes.
- Ensure proper documentation and supporting records for all financial transactions.
- Monitor inter-company transactions and reconciliations.
- Ensure timely closure of monthly, quarterly, and annual accounts.

C. Cash Flow & Treasury Management
- Monitor daily and monthly cash-flow requirements.
- Plan fund requirements for salaries, vendors, statutory payments, project expenses, and other commitments.
- Review and approve payment schedules as per management-approved processes.
- Monitor bank balances, fund transfers, and utilization of working capital.
- Ensure timely collection of customer receivables.
- Monitor outstanding receivables and payables and take necessary follow-up actions.
- Maintain proper controls over employee advances and other company advances.

D. Budgeting & Cost Control
- Prepare annual departmental and project budgets.
- Monitor actual expenses against approved budgets.
- Analyze significant variances and report the reasons to management.
- Ensure project and administrative expenses remain within approved limits.
- Review major purchases, contracts, and financial commitments from a cost perspective.
- Identify opportunities for cost optimization without affecting operational requirements.

E. Project Finance
- Monitor financial performance of ongoing projects.
- Track project billing, collections, expenses, advances, retention amounts, and profitability.
- Review project-wise cost statements and financial commitments.
- Coordinate with Project Managers and Operations regarding project expenditure and cash-flow requirements.
- Monitor project budgets against actual expenditure.
- Support management in evaluating project financial viability and profitability.

F. Accounts Payable & Receivable
- Supervise vendor invoice processing and payment procedures.




- Ensure invoices are supported by proper approvals and documentation.
- Monitor vendor outstanding balances and payment commitments.
- Review customer receivables and collection status.
- Coordinate with project and commercial teams for timely customer billing and collections.
- Maintain appropriate ageing reports for receivables and payables.

G. Payroll & Employee Payments
- Coordinate with HR for monthly payroll processing.
- Review salary statements, employee additions, exits, deductions, advances, and reimbursements before payment.
- Ensure payroll payments are processed within the approved timeline.
- Verify statutory deductions and employer contributions applicable to payroll.
- Ensure employee salary-related financial information is maintained confidentially.
- Coordinate with HR regarding salary revisions, advances, recoveries, and other employee-related financial matters.

H. Statutory Compliance & Taxation
- Ensure timely compliance with applicable statutory financial and taxation requirements.
- Supervise GST, TDS, Income Tax, PF, ESIC, Professional Tax, and other applicable statutory payments and returns.
- Ensure timely filing of GST returns, including GSTR-3B and other applicable returns.
- Review statutory challans, returns, reconciliations, and supporting documentation.
- Coordinate with statutory consultants, auditors, tax consultants, and government authorities wherever required.
- Ensure statutory records are maintained properly and available for audit.

I. Audit & Compliance
- Coordinate internal, statutory, tax, and other financial audits.
- Ensure audit schedules and supporting documents are provided on time.
- Review audit observations and coordinate corrective actions.
- Implement stronger financial controls based on audit findings.
- Ensure proper maintenance of books, vouchers, invoices, contracts, bank records, and statutory documents.

J. MIS & Management Reporting
- Prepare and present monthly financial MIS to management.

- Provide reports covering

- Revenue and expenditure

- Profitability

- Cash flow

- Receivables and payables
- Project-wise financial performance
- Budget vs. actual

- Statutory liabilities

- Outstanding advances

- Working capital position
- Highlight major financial risks, deviations, and exceptions to management.
- Provide timely financial analysis to support management decisions.

K. Banking & Financial Institutions
- Manage relationships with banks and financial institutions.
- Coordinate banking transactions, fund transfers, bank facilities, guarantees, and other financial requirements.
- Monitor bank reconciliation and banking documentation.
- Coordinate with banks for company-related financial facilities and documentation.
- Ensure proper authorization and control over banking transactions.

Internal Controls & Risk Management
- Develop and implement effective financial policies and procedures.
- Ensure segregation of duties within the Finance & Accounts function.
- Monitor unauthorized expenditure, duplicate payments, unusual transactions, and financial irregularities.
- Establish appropriate approval limits and financial controls.
- Identify potential financial risks and communicate them to management.
- Ensure company funds and financial assets are adequately controlled.

M. Team Management
- Lead and supervise the Finance & Accounts team.
- Allocate responsibilities and monitor team performance.
- Establish timelines and accountability for monthly closing and statutory compliance.
- Review the quality and accuracy of work performed by the team.
- Train and develop finance personnel.
- Ensure proper coordination between Finance, HR, Operations, Procurement, Projects, and Management.

N. Management Coordination
- Work closely with the Managing Director and senior management on financial matters.
- Provide financial inputs for major business decisions.
- Review financial implications of current projects, contracts, purchases, and investments.
- Ensure management approvals are obtained before major financial commitments.
- Maintain confidentiality of company financial information.

- Effective cash-flow management.
- Reduction and control of outstanding receivables.
- Proper control over project costs and profitability.
- Timely payroll processing.
- Accurate bank and ledger reconciliations.
- Effective control over employee/vendor advances.
- Successful completion of statutory and internal audits.
- Compliance with approved financial policies and procedures.
- Reduction of financial errors, irregularities, and unauthorized transactions.

1. Authority & Approval Responsibility

The Finance Head shall have authority to review and recommend financial transactions within the limits approved by management and shall ensure that all major financial commitments, payments, advances, banking transactions, and exceptional expenses are processed only after obtaining the required management approvals.

1. Confidentiality

The Finance Head shall maintain strict confidentiality of company financial information, employee salary details, banking information, customer and vendor information, project profitability, budgets, management reports, and other commercially sensitive information.
1. General Responsibility

The Finance Head shall perform any additional finance, accounting, compliance, reporting, or financial management responsibilities assigned by the Management from time to time in the best interests of the organization.
