About the Role:

We are looking for an experienced Export Documentation Manager to manage and oversee the complete export documentation process, from pre-shipment to post-shipment.

The ideal candidate should have strong hands-on experience in Export Documentation, Letter of Credit (LC), Customs, DGFT, FEMA/RBI compliance, Banking procedures and International Trade.

You will work closely with the Sales, Production, Dispatch, Logistics, Freight Forwarders, CHA and Banks to ensure that export shipments are processed smoothly and all documentation is accurate and completed on time.

Key Responsiblities:

Pre-Shipment Activities

- Review and approve Letter of Credit (LC) drafts as per export requirements.
- Maintain party-wise LC records and track expiry dates, overdrawn limits and other important conditions.
- Maintain records of Advance Payments and ensure proper adjustment against commercial invoices.
- Coordinate with Dispatch and Logistics teams for container planning and placement.
- Coordinate with Freight Forwarders / Shipping Lines for CRO and container arrangements.

Prepare and verify

- Commercial Invoice
- Packing List
- VGM
- Customs Annexure
- Raw Material / Licence Details
- Insurance Certificate

- Maintain EPCG and Advance Licence debiting records shipment-wise.
- Review and approve Shipping Bill checklists shared by the CHA.
- Coordinate dispatch intimations with buyers, freight forwarders and CHA.
- Ensure all pre-shipment documents are accurate and ready on time.

Post-Shipment Activities

Prepare and coordinate post-shipment documents such as:

- Shipping Line Instructions (SLI)




- Bill of Lading (B/L)
- Certificate of Origin / CEPA
- MTC
- Fumigation Certificate

- Review and approve documents as per LC and customer requirements.
- Coordinate with banks for export document negotiation under LC, DP, DA and collection terms.
- Follow up on export proceeds realization and BRC/e-BRC.
- Monitor Shipping Bill closure and reconciliation.
- Track and manage RoDTEP advantages and their utilization.
- Coordinate with Customs, CHA, Freight Forwarders and Banks to resolve documentation issues.
- Maintain complete export records and ensure documents are ready for audits.
- Support documentation related to export incentives, duty drawback and government schemes.

Compliance Responsibilities

Ensure compliance with applicable

- Foreign Trade Policy (FTP)
- Customs regulations
- FEMA guidelines
- RBI regulations related to export proceeds
- DGFT rules and requirements
- Other applicable export/import regulations

Stay updated with changes in export regulations and ensure the same are implemented in day-to-day processes.

What We're Looking For

- Bachelor's degree in Commerce, Business Administration, International Business, Logistics or a related field.
- MBA / PG Diploma in International Business or Foreign Trade will be an advantage.
- 5+ years of relevant experience in Export Documentation / International Trade.
- Strong hands-on experience in pre-shipment and post-shipment documentation.
- Good knowledge of LC documentation and export banking procedures.
- Experience dealing with Customs, CHA, Freight Forwarders, Shipping Lines, Banks and DGFT.
- Experience with SAP, Oracle or other ERP systems.
- Experience in the Metal Manufacturing / Aluminum industry will be preferred.
- Strong attention to detail, coordination and follow-up skills.
