B. Business Operations:
This is a high-trust role in the Managing Director's office, designed for a commercially aware skilled who can combine executive coordination, management reporting, disciplined follow-through, and selected business projects. The position is broader than a conventional secretarial role and offers a pathway toward an MD Office or junior Chief of Staff responsibility.
C. Role Purpose:
The Executive Assistant will help the Managing Director convert priorities and decisions into timely execution. The role will create structure around the MD's calendar, reviews, information flow, and follow-ups; improve the quality of decision preparation; and independently drive selected cross-functional assignments. Success will be measured by reliability, anticipation, clarity, and closure rather than by activity alone.
D. Key Responsibilities:
1. MD Office Management
- Own the Managing Director's calendar, meeting rhythm, travel coordination, and priority sequencing.
- Prepare a concise daily action sheet covering commitments, decisions required, deadlines and unresolved follow-ups.
- Screen and organise incoming information so that urgent matters are escalated, and routine matters are routed appropriately.
- Prepare agendas and pre-reads, attend selected meetings, record decisions with explicit ownership and deadlines, and circulate action notes promptly.
- Maintain an accurate and confidential tracker of commitments made by the Managing Director and by functional leaders.
2. Business Reviews and Management Reporting:
- Coordinate inputs for reviews covering major projects, engineering, manufacturing, procurement, finance, business development, spares, recruitment, contracts and claims.
- Consolidate management information into short, decision-oriented dashboards and exception reports rather than forwarding raw data.
- Identify slippages, missing information and interdepartmental dependencies before review meetings.
- Support preparation of presentations, board or lender notes, project briefs, correspondence and internal management communications.
3. Execution and Cross-Functional Follow-Through
- Follow up firmly and professionally with senior functional leaders until agreed actions are closed.
- Track milestones across important bids, project delivery, factory output, client submissions, banking matters and key recruitments.
- Escalate emerging risks early, with facts, impact and a recommended next action.
- Ensure that decisions and action items are not lost between meetings, emails and verbal discussions.
4. Analysis and Special Projects:
- Undertake structured research and analysis for new businesses,
operational improvements, investments, partnerships and strategic initiatives.
- Build basic financial and operating analyses using Excel and convert findings into clear PowerPoint or written recommendations.
- Coordinate selected MD-sponsored projects across departments and external advisers, with agreed milestones and outcome measures.
- Use modern productivity and AI tools responsibly to improve research, summaries, reporting and workflow discipline while protecting confidential information.
5. Executive Administration and Confidentiality:
- Handle sensitive commercial, employee, banking, contractual and personal information with complete discretion.
- Coordinate correspondence, records, approvals, and important documents in a structured and searchable manner.
- Work with administrative support for routine logistics while retaining end-to-end responsibility for the quality and reliability of the MD's office.
E. Expected Outcomes in the First Six Months:
- A dependable daily and weekly operating rhythm for the Managing Director's office.
- One consolidated action tracker with clear ownership, dates, status, and escalation points.
- Decision-ready briefs for major reviews, with fewer last-minute information gaps.
- Material improvement in closure of cross-functional commitments and overdue actions.
- Independent ownership of at least two meaningful business or process-improvement assignments.
F. Performance Measures: 1. Office reliability: Calendar accuracy, preparedness, and consistent physical availability during agreed working hours
2. Follow through: Percentage of action items closed by deadline and quality of escalation before slippage
3. Decision support: Accuracy, conciseness and timeliness of briefs, dashboards and meeting material
4. Business impact: Progress and measurable outcomes from MD-sponsored projects

G. Candidate Profile
1. Education and Experience
- Bachelor's degree in engineering, preferably mechanical, electrical or civil. An MBA in operations, finance, strategy, or general management is preferred.
- Approximately 4 to 8 years of experience in EPC, manufacturing,
infrastructure, power, industrial projects, consulting, or a comparable promoter-led business.
- Experience supporting a business head, coordinating a PMO, managing cross-functional projects, or preparing management reports is valuable.
- Candidates with an exceptional execution record may be considered even if they do not meet every preferred qualification.
2. Technical and Business Capabilities
- Strong written and spoken English, with the ability to draft crisp notes and professional correspondence.
- Good command of Excel and PowerPoint; comfort with operating data, basic financial analysis and management dashboards.
- Ability to understand engineering, project, commercial and contractual discussions without needing to be a technical specialist in every area.
- Strong digital organization skills and familiarity with task-management, collaboration and AI-enabled productivity tools.

Role Boundaries and Authority:
- The role may seek information, confirm ownership and follow up on deadlines on behalf of the Managing Director.
- It does not replace functional accountability or independently commit the company commercially unless specific authority is delegated.
- Routine clerical and logistics work should, where available, be supported by administrative staff so that this position remains focused on executive effectiveness and business execution.
