nExecutive Assistant to CEO – Office of the CEO
nLocation - Gurgaon , Haryana
n
nAbout the Role
n
nWe are looking for an exceptional Executive Assistant to the CEO who can operate as the CEO’s right hand, execution partner and gatekeeper of time and priorities.
n
nThis person will work directly with the Founder & CEO across business priorities, strategic initiatives, senior stakeholder relationships, meetings, travel, communications and special projects.
n
nThe role requires someone who doesn’t simply take instructions — they anticipate, organise, chase, solve and close.
n
nYou will often be working with incomplete information, changing priorities and tight timelines. The ability to remain calm, think clearly and make things happen is fundamental.
n
nThis role is for you if:
n
n You naturally take ownership rather than wait for instructions.
nYou are exceptionally organised but can also operate in chaos.
n You can manage 20 things simultaneously without losing sight of the 3 things that matter most.
nYou are comfortable calling a senior executive, customer, partner or internal leader and getting something moving.
n You don’t say “I have followed up” — you say “It is done.”
nYou can anticipate what the CEO will need before he asks.
n You are comfortable with a demanding, fast-moving founder environment.
nYou enjoy solving problems rather than escalating them.
n You have the maturity and confidence to represent the CEO’s office professionally.
n
n⸻
n
nKey Responsibilities
n
n1. CEO Calendar & Time Management
n
nOwn the CEO’s calendar as a strategic asset, not merely as a scheduling exercise.
n
nPrioritise meetings based on business impact.
n Protect the CEO’s time for high-value priorities.
nManage competing requests and stakeholders.
n Build realistic schedules and buffers.
nEnsure the CEO is properly briefed before important meetings.
n Anticipate clashes, delays and changes before they become problems.
nMaintain an effective daily/weekly operating rhythm.
n
nSuccess = the CEO spends more time on what only the CEO can do.
n
n⸻
n
n2. Task Management & Execution
n
nThis should be one of the biggest components of the role.
n
n Maintain a live tracker of CEO priorities, commitments and action items.
nConvert discussions into clear actions, owners and deadlines.
n Follow up relentlessly until closure.
nCoordinate across departments to remove bottlenecks.
n Escalate only when necessary — preferably with a proposed solution.
nEnsure commitments made by the CEO’s office are delivered.
n Maintain visibility on critical business priorities.
n
nThe EA becomes the CEO’s execution engine.
n
n⸻
n
n3.
Strategic Support
n
nThe person should be able to move beyond administration.
n
nConduct research and prepare briefs.
n Analyse information and summarise the key implications.
nPrepare presentations, talking points and meeting briefs.
n Support strategic projects assigned by the CEO.
nTrack important business initiatives.
n Identify gaps, risks and dependencies.
nHelp the CEO prepare for important customer, investor, partner and leadership interactions.
n
nThe expectation is “bring me clarity”, not simply “bring me information.”
n
n⸻
n
n4. Stakeholder Management & Liaison
n
nAct as an extension of the CEO’s office.
n
nInteract confidently with:
n
n Senior management
nHotel GMs and senior hospitality leaders
n Investors
nCustomers
n Partners
nVendors
n Government / industry bodies
nInternal functional heads
n Event organisers
nExternal advisors
n
nThe candidate must have the ability to influence without formal authority.
n
nThey should be able to convince, negotiate, persuade, coordinate and follow through.
n
n⸻
n
n5. CEO Communications
n
n Draft and manage emails, letters and official communication.
nPrepare meeting agendas and minutes where required.
n Ensure key communication doesn’t fall through the cracks.
nCoordinate responses on behalf of the CEO.
n Maintain absolute confidentiality.
nEnsure communication reflects the CEO’s tone and expectations.
n
n⸻
n
n6. Travel & Logistics
n
nThe CEO travels extensively, therefore this is a significant responsibility.
n
n Manage domestic and international travel.
nFlights, hotels, visas, ground transport and itineraries.
n Build detailed travel plans around meetings and commitments.
nHandle last-minute changes.
n Manage travel contingencies.
nCoordinate meetings/events during travel.
n Be comfortable travelling with the CEO when required.
n
nShort-notice travel should not be a constraint for this role.
n
n⸻
n
n7. Special Projects & “Make It Happen” Assignments
n
nThis is where the right person will differentiate themselves.
n
nThe CEO may say:
n
n“I need this sorted.”
n
nThe EA is expected to:
n
nUnderstand → Structure → Coordinate → Execute → Close.
n
nExamples could include:
n
nOrganising a leadership offsite
n Coordinating an investor meeting
nGetting multiple teams aligned on an urgent issue
n Preparing an important presentation
nResearching a new market
n Coordinating a customer escalation
nOrganising an international trip
n Driving an internal initiative
nGetting a critical document prepared overnight
n
nThe nature of these assignments will change constantly.
n
n⸻
n
n NON-NEGOTIABLES
n
n 1. Availability & Flexibility
n
nThe CEO’s schedule can be unpredictable.
n
nThe candidate must be comfortable working according to the CEO’s business requirements, including early mornings, late evenings, weekends or urgent situations when genuinely required.
n
nThis is a high-availability role, not a conventional 9-to-5 administrative position.
n
n2. Exceptional Time Management
n
nYou must be able to manage:
n
nUrgent + Important + Strategic + Routine
n
nsimultaneously without losing control.
n
n3. Ownership
n
nWe need a doer, not a coordinator.
n
nIf something is assigned to you, you own it until it is completed.
n
n4. Follow-through
n
nOutstanding follow-up is essential.
n
nYou must be persistent without being irritating and know how to get people to respond.
n
n5. Strategic Thinking
n
nYou must understand why something is being done, not merely what you have been asked to do.
n
n6. Ability to Travel at Short Notice
n
nDomestic and international travel may be required with limited notice.
n
n7. Stakeholder & Liaison Skills
n
nYou should be comfortable interacting with senior people and representing the CEO’s office.
n
n8. Convincing & Influencing Ability
n
nYou will frequently need to get things done without having authority over the person you’re dealing with.
n
n9. Discretion & Confidentiality
n
nThe role will involve highly confidential business, financial, people and strategic information.
n
n10. Calm Under Pressure
n
nWhen everything is urgent, the right person brings calm, structure and solutions.
n
nExperience & Qualification
n
nEducation: Graduate / Postgraduate from a reputed institution.
n
nExperience: Ideally 3–7 years in one or more of:
n
n Executive Assistant to CXO / Founder
nFounder’s Office
n Strategy
nBusiness Operations
n Management Consulting
nProject Management
n
nMBA / CA / engineering / other strong academic backgrounds can be considered, but attitude, ownership and execution ability should outweigh the degree.
n
nExcellent proficiency in:
n
n Google Workspace / MS Office
nPowerPoint
n Excel / Google Sheets
nCalendar management
n Presentation preparation
nAI tools
n* Research and information synthesis
