As an Executive Assistant, you will serve as a trusted partner to the senior leadership team, ensuring seamless executive operations and enabling leadership to focus on strategic priorities. You will manage complex schedules, coordinate communications, oversee travel and logistics, support organizational initiatives, and maintain the highest levels of professionalism and confidentiality. This role requires exceptional organizational skills, attention to detail, stakeholder management capabilities, and the ability to thrive in a dynamic and rapidly evolving business environment.
Here's what you will get to explore:
- Support and provide additional support to executive team members to ensure company goals and objectives are accomplished efficiently.
- Manage professional and personal scheduling for the executive team members, including calendars, agendas, meetings, emails, phone calls, expenses,
and business logistics.
- Coordinate complex scheduling requirements and manage information flow between executives and stakeholders.
- Liaise with internal and external executives, employees, customers, and partners on various projects and initiatives.
- Plan and orchestrate activities to ensure leadership priorities are met and organizational goals are achieved.
- Manage domestic and international travel arrangements, including accommodations, transportation, itineraries, and related logistics.
- Be available outside regular business hours when required to support executive schedules across global time zones.
- Act as a trusted point of coordination for executive communications and follow-up actions.
- Maintain and refine internal processes that support executive efficiency and organizational effectiveness.
- Coordinate internal and external resources to expedite workflows and improve productivity.
- Create, maintain, and manage spreadsheets, databases, filing systems, records, and executive documentation.
- Organize leadership meetings, internal communications, offsite events, and company engagements.
- Handle confidential and sensitive information with the highest degree of discretion and professionalism.
- Anticipate leadership needs, proactively identify challenges, and help resolve issues before they escalate.
- Prioritize conflicting demands and manage multiple projects simultaneously while meeting tight deadlines.
- Act as a "barometer" for organizational priorities and keep leadership informed about important developments and issues.
- Support special projects and strategic initiatives as assigned by the CEO and executive leadership team.
Skills & Experience that we value:
- 4+ years of experience in an Executive Assistant, Administrative, or similar role supporting senior leadership.
- Proven experience reporting directly to senior executives or upper management.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational, planning, and time-management capabilities.
- Ability to manage multiple concurrent priorities and projects effectively.
- High attention to detail with a proactive and solution-oriented approach.
- Strong proficiency in Microsoft Office Suite, productivity tools, and business applications.
- Ability to quickly learn new software platforms and systems.
- Solid stakeholder management and relationship-building skills.
- Ability to work independently while collaborating effectively across teams.
- Flexible team player who adapts well to changing priorities and dynamic business needs.
- Ability to maintain strict confidentiality of company, executive, and employee information.
- Experience managing travel arrangements, executive calendars, and administrative operations.
- Experience overseeing budgets, expenses, and related administrative processes is preferred.
- Experience developing and improving internal processes, documentation, and filing systems is preferred.
- Ability to support executives operating across multiple global time zones.
