The Material Data Management System

Administrator is responsible for supporting the configuration, data expansion, and ongoing improvement of Ascends web-based material data management system.

This role requires a strong background in material science, with the ability to understand material properties, technical datasheets, testing standards, and engineering documentation. This role will focus on preparing the system to receive structured material, product, and technical data using tools such as SQL, Python, Excel, and platform-native upload features. The position will support the extraction, organization, cleanup, validation, and mass upload of data from Excel, Word, PDF, and other source files into the data management system.

This role partners closely with technical engineers, product teams, IT, and system vendors to maintain accurate product data, improve workflows, support system users, and ensure material data is structured, searchable, traceable, and usable across the organization.

TARGETED OUTCOMES

- Support the successful expansion and maintenance of Ascend’s web-based material data management system.
- Develop repeatable processes for preparing, formatting, validating, and uploading material and product data into the system.
- Enable efficient mass upload of data from Excel, Word, PDF, and other technical source files.
- Support technical engineers and business users by improving workflows, reporting, and access to accurate material data. RESPONSIBILITIES System Configuration and Administration
- Configure and maintain the web-based material data management platform, including user workflows, templates, forms, and system settings.
- Format and structure the data management system to receive material, product,



and technical data in a consistent and searchable format.
- Support configuration of low-code or no-code system features including forms, approval routing, templates, data views, and reporting tools.
- Troubleshoot system issues, coordinate with engineering or vendor support when needed, and track issues through resolution. Data Formatting, Migration, and Mass Uploads
- Use tools such as SQL, Python, Excel, and platform-native features to support data formatting, transformation, validation, and upload activities.
- Extract data from Excel, Word, PDF, and other technical documents for upload into the data management system. • Perform mass uploads of material and product data, technical datasheets, property tables, document links, and related product literature.
- Assist with data migration, data cleanup, validation, and standardization across legacy and current systems.
- Identify missing, duplicated, inconsistent, or improperly formatted information and support corrective actions. Material Data and Workflow Support
- Work with engineering and product teams to translate material data requirements into structured system fields, workflows, reports, and searchable data views.
- Support updates to material and product data, technical datasheets, property tables, document links, and related product literature.
- Help maintain clean, traceable, and revision-controlled product data.
- Support reporting and analytics needs using tools such as Excel, Power BI, SQL, Python, or platform-native reporting features. TEAM AND INTERACTIONS Reports to: Tanner Gallo This role partners extensively with technical engineering, and external software/vendor support teams. REQUIRED EXPERIENCE
- Experience working with structured data, data formatting, data transformation, and data upload processes.
- Experience extracting and preparing data from Excel, Word, PDF, and other document formats.
- Working knowledge of SQL, Python, or similar tools used to organize, manipulate, validate, and load data into business systems.
- Experience supporting web-based enterprise applications,



technical data systems, document management systems, or similar platforms.
- Experience with data migration, data cleanup, validation, standardization, or mass upload activities.
- Experience working with software vendors or technical support teams to troubleshoot and resolve system issues.
- Familiarity with material properties, product data, technical datasheets, testing standards, or engineering documentation is a plus. REQUIRED SKILLS
- Strong understanding of structured data, metadata, database concepts, and data quality management.
- Ability to configure low-code or no-code enterprise systems, including forms, workflows, user roles, approval routing, templates, and reports.
- Proficiency with Excel and familiarity with reporting or visualization tools such as Power BI.
- Working knowledge of SQL, Python, APIs, data migration tools, or bulk upload processes.
- Ability to convert unstructured or semi-structured data from Word, PDF, and Excel files into structured, database-ready formats.
- Robust troubleshooting, analytical, and problem-solving skills.
- Detail-oriented mindset with an understanding of revision control, data traceability, and controlled-document practices.
- Ability to manage multiple priorities and support both project-based improvements and day-to-day user needs.
- Strong communication skills with the ability to work comfortably between IT and technical business teams.
- Curiosity and willingness to learn the language of material properties, technical datasheets, testing standards, and product data workflows.
- Experience creating data templates, upload files, validation rules, training materials, and repeatable data-loading processes.
