Job Purpose To collect customer cheques on time, coordinate with customers for payment commitments, ensure timely submission of cheques to the Accounts Department/bank, and maintain accurate records of all cheque collections.
Key Responsibilities1. Cheque Collection
- Visit customers as per the collection schedule to collect cheques.
- Collect cheques against outstanding invoices and approved payment commitments.
- Verify basic cheque details before accepting the cheque.
- Ensure the cheque is properly drawn in favour of the company.
- Obtain acknowledgement or confirmation for cheque collection where required.
1. Customer Follow-up
- Coordinate with customers regarding pending payments and cheque readiness.
- Confirm collection appointments before visiting customers.
- Follow up on committed payment dates.
- Inform the Accounts/Collection team about delays or changes in payment commitments.
1. Cheque Submission & Deposit
- Submit collected cheques to the Accounts Department within the defined timeline.
- Ensure cheques are deposited promptly as per company process.
- Maintain proper handover records for all collected cheques.
- Coordinate with Accounts for cheque deposit status.
1. Cheque Tracking
- Maintain a daily record of cheques collected.
- Track cheque number, customer name, amount, collection date and deposit status.
- Follow up on pending or undeposited cheques.
- Report any mismatch or discrepancy immediately.
1. Bounced / Returned Cheques
- Inform the Accounts Manager immediately regarding cheque returns or dishonours.
- Coordinate with the customer for replacement payment as instructed.
- Assist the Collection Executive/Accounts team in follow-up for bounced cheque payments.
- Maintain records of returned cheques and replacement commitments.
1. Customer Coordination
- Maintain skilled relationships with customers during collection visits.
- Handle payment-related communication politely and professionally.
- Coordinate with Sales and Collection teams when customer issues affect payment.
1. Documentation & Reporting
- Maintain daily collection reports.
- Submit daily cheque collection details to the Accounts Department.
- Maintain customer-wise collection records.
- Submit travel/visit reports as required.
- Ensure all collection documents and acknowledgements are properly maintained.
1. Coordination with Internal Teams
- Coordinate with Accounts for outstanding statements and invoice details.
- Coordinate with Sales regarding customer visits and payment issues.
- Coordinate with the Collection Executive for overdue accounts.
- Escalate high-value or long-pending payments to the reporting manager.
