Position Overview:
The Associate, People Operations will support the day-to-day People Operations and administrative activities. The position will be responsible for providing timely and effective support to employees, assisting with talent acquisition activities, maintaining employee records and documentation, coordinating with the Administration team, and ensuring timely processing and submission of bills and other required documents. The role will serve as an important point of coordination between employees, People Operations, Administration, and other internal stakeholders.
The Associate will be expected to handle employee queries professionally, maintain accurate records, support recruitment and onboarding activities, and ensure that assigned People Operations processes and documentation are completed accurately and within timelines. The position will report to Officer, People Operations.
Responsibilities:
People Operations & Employee Relations:
- Provide day-to-day support to employees on People Operations-related queries and coordinate with the appropriate team members for timely resolution.
- Support employee relations activities by listening to employee concerns, documenting queries, and escalating matters appropriately when required.
- Maintain skilled and confidential communication while handling employee information and concerns.
- Coordinate with employees and internal stakeholders to ensure smooth implementation of People Operations processes.
- Support employee engagement and other People Operations initiatives as required.
- Develop a working knowledge of Room to Read India’s People Operations policies, procedures, and processes and ensure assigned activities are carried out in accordance with organizational guidelines.
- Ensure confidentiality and appropriate handling of employee information and maintain adherence to organizational standards relating to employee conduct and child protection.
Talent Acquisition & Recruitment Support:
- Be well versed with RtR HR Recruitment Policies, and provide weekly, monthly and quarterly Recruitment metrics as required.
- Support the end-to-end recruitment process, candidate sourcing, screening, interview coordination, reference checks, and offer-related documentation.
- Coordinate with hiring managers to schedule interviews and ensure timely follow-up on recruitment requirements.
- Maintain candidate trackers, recruitment databases, and other relevant records.
- Ensure recruitment-related documentation and processes are completed accurately and in accordance with organizational policies and timelines.
Employee Documentation & Records Management:
- Maintain accurate and up-to-date employee files, both physical and digital, in accordance with organizational policies.
- Ensure timely collection, verification, filing, and submission of employee-related documents.
- Support joining, transfer, confirmation, separation, and other employee lifecycle documentation.
- Maintain People Operations trackers and databases and ensure information is updated accurately and within timelines.
- Ensure confidentiality and appropriate handling of employee records and personal information.
- Support timely submission and maintenance of statutory and other People Operations-related documentation, as required.
Administration & Coordination:
- Coordinate closely with the Administration team for employee-related administrative requirements.
- Support employee induction by coordinating with relevant internal teams to ensure that new employees receive the required information, documentation, facilities, and administrative support for a smooth onboarding experience.
- Support office administration activities related to employee onboarding, transfers, travel, meetings, events, and other operational requirements.
- Coordinate with internal teams and external vendors/service providers as required for People Operations and administrative activities.
- Follow up with relevant stakeholders to ensure timely completion of assigned tasks and requirements.
- Ensure administrative activities are carried out in accordance with organizational policies, procedures, and guidelines.
Bills, Expenses & Documentation:
- Support the processing and tracking of People Operations and Administration-related bills and invoices.
- Ensure bills, supporting documents, approvals, and other required paperwork are complete and submitted within the prescribed timelines.
- Maintain proper records of bills, expenses, and supporting documentation.
- Coordinate with Finance and relevant internal stakeholders for timely processing and resolution of billing-related queries.
- Ensure bills, expenses, approvals, and supporting documentation are processed in accordance with organizational policies and established procedures.
- Maintain appropriate records and documentation for audit and internal review purposes.
- Ensure timely submission of required documentation and follow up on pending approvals or discrepancies.
Qualifications:
Required:
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
- 2–4 years of relevant professional experience in People Operations, Human Resources, Talent Acquisition, HR Administration, or a related function.
- Working knowledge of recruitment and employee lifecycle processes.
- General understanding of personnel administration and HR practices.
- Good coordination, follow-up, and documentation skills.
- Ability to manage multiple tasks and meet deadlines.
- Good written and verbal communication skills in English.
- Ability to interact effectively with employees and stakeholders at different levels.
- Good working knowledge of MS Office, particularly Excel and Word.
- Ability to maintain confidentiality while handling employee information and records.
Preferred:
- Prior experience in the development/non-profit sector or a multi-location organization.
- Experience in handling HR documentation, employee queries, recruitment coordination, bills, and administrative processes.
- Familiarity with HRIS or other employee management systems.
