Job Purpose To independently manage the overall administration function of the Kolkata plant, ensuring smooth plant operations, security, housekeeping, employee facilities, contract manpower coordination, statutory documentation, transport, canteen, infrastructure and workplace discipline.
Key Responsibilities
1. Plant Administration
- Manage all day-to-day administrative activities of the plant.
- Ensure smooth functioning of plant facilities and employee support services.
- Coordinate with Plant Head, HR, Production, Maintenance, Purchase, Accounts and other departments.
- Maintain administrative records, registers and plant-related documentation.
- Ensure proper implementation of plant administrative policies and procedures.
2. Security Management
- Manage security personnel and security agency at the plant.
- Prepare and monitor security duty rosters and deployment.
- Control entry and exit of employees, visitors, vendors and vehicles.
- Monitor gate passes and movement of raw materials, finished goods and other materials.
- Ensure proper checking of vehicles and personnel at entry/exit gates.
- Monitor CCTV and security systems.
- Conduct regular security rounds and night-patrol checks.
- Investigate and report security incidents to management.
3. Housekeeping & Plant Hygiene
- Supervise housekeeping manpower and daily deployment.
- Ensure cleanliness of plant premises, offices, washrooms, common areas and surrounding areas.
- Monitor housekeeping schedules and hygiene standards.
- Ensure proper disposal of waste and maintenance of dustbins.
- Conduct regular housekeeping inspections and maintain checklists.
- Coordinate with housekeeping agencies and resolve manpower/service issues.
4. Canteen & Employee Facilities
- Manage plant canteen operations and food service vendors.
- Monitor food quality, hygiene and cleanliness.
- Ensure availability of drinking water and other employee facilities.
- Monitor employee welfare facilities and address routine concerns.
- Ensure proper maintenance of rest areas, changing rooms and other common facilities.
5. Contract Labour & Manpower Coordination
- Coordinate with housekeeping, security, canteen, transport and other manpower agencies.
- Monitor outsourced manpower attendance and deployment.
- Verify agency attendance,
manpower deployment and service bills.
- Coordinate with HR regarding contractor manpower requirements.
- Ensure required statutory documents are obtained from contractors in coordination with HR/Compliance.
6. Plant Safety & Emergency Preparedness
- Coordinate with EHS/Safety team for implementation of plant safety requirements.
- Ensure fire extinguishers, emergency exits, safety signage and other emergency facilities are maintained.
- Coordinate fire drills and emergency preparedness activities.
- Ensure visitors and contractors follow plant safety rules.
- Support management during emergencies and incidents.
7. Transport & Logistics Administration
- Manage employee transportation, plant vehicles and local transport requirements.
- Coordinate vehicle schedules and driver deployment.
- Monitor vehicle documents, servicing and maintenance.
- Arrange transportation for management, visitors and employees whenever required.
- Maintain transport-related records and vendor bills.
8. Maintenance & Facility Management
- Coordinate maintenance of administrative areas, plant infrastructure and employee facilities.
- Follow up on civil, electrical, plumbing, HVAC, sanitation and other facility-related issues.
- Coordinate AMC services for CCTV, fire safety, pest control, electrical systems, housekeeping equipment and other facilities.
- Maintain AMC/service records and ensure timely renewal.
9. Procurement & Inventory
- Manage procurement of administrative, housekeeping, pantry and plant-consumable items.
- Maintain minimum stock levels and ensure timely availability.
- Monitor consumption and avoid unnecessary wastage.
- Maintain proper inventory and issue records.
- Coordinate with Purchase and Accounts for procurement and payments.
10. Vendor Management
- Manage administrative vendors and service providers.
- Obtain quotations and coordinate approvals as per company policy.
- Monitor vendor performance and service quality.
- Verify vendor bills against actual services provided.
- Ensure timely resolution of vendor-related issues.
11. Statutory & Documentation Support
- Maintain plant administration-related registers and records.
- Coordinate with HR/Compliance for labour contractor documentation and statutory requirements.
- Maintain records related to security, fire safety, housekeeping, transport, canteen and facility services.
- Support internal and statutory audits by providing required administrative records.
12. Plant Discipline & Employee Coordination
- Ensure adherence to plant administrative rules and discipline.
- Monitor compliance with entry/exit, uniform, ID card, mobile phone and other plant policies.
- Coordinate with HR and department heads on employee administrative issues.
- Promote a safe, disciplined and professional plant environment.

Qualification
Graduate in any discipline.
MBA/PG Diploma in HR, Administration, Facility Management or a related field will be an advantage.
Experience
6–10 years of relevant experience in plant administration, preferably in manufacturing, printing & packaging or other industrial environments.
Preferred Candidate Profile The candidate should have strong hands-on experience in plant administration and facility management and should be capable of independently managing security, housekeeping, contract manpower, transport, canteen, vendors, plant facilities and administrative compliance coordination.
Key expectation: The candidate should be field-oriented and comfortable working within a manufacturing plant environment, coordinating directly with workers, contractors, vendors and plant management.
Pay: ₹40,000.00 - ₹60,000.00 per month
