Job Purpose The Academic Credit Specialist is responsible for managing, evaluating and maintaining academic credit information to ensure that students receive accurate and appropriate academic credit for completed courses, qualifications, prior learning and approved learning activities.

The role supports the effective administration of academic credit, credit transfer, recognition of prior learning, exemptions, advanced standing and academic progression. The Academic Credit Specialist works closely with academic departments, programme teams, admissions, student services, registry and external academic partners to ensure that credit decisions are consistent with institutional policies, academic regulations and quality-assurance requirements.

The position requires strong attention to detail, analytical ability, knowledge of academic regulations and the ability to interpret course and qualification information accurately.

Key Responsibilities1. Academic Credit Assessment

- Assess applications for academic credit, credit transfer, exemptions and advanced standing.
- Review students' previous qualifications, transcripts, modules and learning outcomes against institutional credit policies.
- Determine whether previous learning is equivalent to current programme requirements.
- Assess the level, volume, content and learning outcomes of prior study.
- Identify appropriate credit values and academic levels in accordance with institutional regulations.
- Prepare recommendations for credit recognition and exemptions for approval by authorised academic staff.
- Ensure credit decisions are accurate, consistent and properly documented.

1. Recognition of Prior Learning

- Support the assessment of Recognition of Prior Learning (RPL), including formal, informal and experiential learning where applicable.
- Review evidence submitted by students to establish whether prior learning meets programme requirements.
- Liaise with academic subject specialists where specialist academic judgement is required.
- Maintain accurate records of RPL decisions and supporting evidence.
- Ensure RPL decisions comply with institutional and regulatory requirements.

1. Credit Transfer and Articulation

- Evaluate credit transfer requests from other universities, colleges and recognised education providers.
- Review institutional articulation agreements and progression arrangements.
- Maintain databases and records of approved credit mappings.
- Support the development and maintenance of credit-transfer pathways.
- Identify recurring qualifications or modules that may require formal credit equivalency arrangements.
- Escalate complex or exceptional credit-transfer cases to the appropriate academic authority.

1. Academic Records and Data Management

- Maintain accurate student credit records within the student information system.
- Enter, update and verify credit awards, exemptions and transferred credits.
- Conduct regular checks to identify discrepancies in student academic records.
- Ensure that credit information is accurately reflected in student transcripts and progression records.
- Maintain appropriate documentation and audit trails for credit decisions.
- Protect confidential student and academic information in accordance with institutional policies and applicable data-protection requirements.

1. Student and Stakeholder Support

- Respond to student enquiries relating to credit transfer, exemptions, prior learning and academic progression.
- Explain academic credit requirements and decisions clearly and professionally.
- Provide guidance to prospective and current students regarding available credit-recognition processes.
- Liaise with admissions and student-support teams to resolve credit-related cases.
- Communicate with academic departments regarding complex credit assessments.




- Handle sensitive or disputed credit cases professionally and escalate them when necessary.

1. Academic Policy and Compliance

- Apply institutional academic regulations and credit policies consistently.
- Ensure credit decisions comply with programme regulations and quality-assurance requirements.
- Keep up to date with changes to academic credit frameworks, qualification frameworks and regulatory requirements.
- Support internal and external academic audits relating to credit recognition.
- Maintain appropriate evidence for quality-assurance reviews and accreditation processes.
- Identify cases where current procedures or credit arrangements may require review.

1. Credit Mapping and Curriculum Analysis

- Develop and maintain course-to-course and qualification-to-programme credit mappings.
- Compare module descriptions, learning outcomes, assessment methods, academic levels and credit values.
- Maintain records of approved equivalencies and precedents.
- Work with academic staff to review new qualifications and courses for potential credit recognition.
- Support curriculum teams in identifying opportunities for articulation and progression pathways.

1. Reporting and Analysis

- Produce regular reports on credit-transfer applications, approvals, rejections and outstanding cases.
- Monitor processing volumes, turnaround times and recurring issues.
- Analyse credit-related data to identify trends and operational improvements.
- Provide management information to academic and administrative leadership.
- Support institutional planning through accurate credit and student-progression data.

1. Process Improvement

- Review existing credit-assessment processes and identify opportunities for improvement.
- Recommend improvements to systems, workflows, documentation and communication.
- Contribute to the development of standard operating procedures for academic credit assessment.
- Support automation and digitalisation of credit-assessment processes where appropriate.
- Help improve turnaround times while maintaining academic quality and regulatory compliance.

1. Quality Assurance and Continuous Improvement

- Participate in internal reviews of credit-assessment decisions.
- Support moderation and consistency checks across academic departments.
- Maintain accurate records of decision-making criteria and precedents.
- Identify inconsistencies in credit decisions and recommend corrective action.
- Contribute to institutional quality-enhancement initiatives.
- Participate in relevant committees, working groups and academic-administrative meetings.

Required Qualifications
- Bachelor's degree in education, academic administration, business administration, higher education, or a related discipline.




- A postgraduate qualification in education, higher education administration or a related field is desirable.
- Relevant professional experience in academic administration, student records, admissions, credit assessment or higher-education operations.

- Experience working within a university, college, higher-education institution or education organisation.
- Experience with academic records, credit transfer, exemptions, RPL or student progression is desirable.
- Experience interpreting academic regulations and programme structures.
- Experience working with student information systems or academic administration platforms.

Authority and Decision-Making The Academic Credit Specialist may independently assess routine credit-transfer and exemption cases within approved institutional policies and delegated authority. Complex cases involving substantial credit, unusual qualifications, disputed equivalencies or exceptions to academic regulations should be referred to the relevant academic authority, programme leader, academic committee or designated decision-maker.

The role is expected to exercise professional judgement while ensuring that individual decisions remain consistent with institutional regulations and established precedents.

Overall Accountability The Academic Credit Specialist is accountable for ensuring that academic credit is assessed, recorded and communicated accurately, consistently, transparently and within established institutional requirements.

The role contributes directly to student progression, academic quality, regulatory compliance and the integrity of institutional academic records.

Pay: ₹30,000.00 - ₹32,000.00 per month
