Job Description
Key Responsibilities
n
HR Operations Strategy
n
Develop and implement HR operations policies, SOPs and service standards.
n
Align HR operational processes with the company's business plans and showroom expansion.
n
Standardise HR practices across the corporate office, regions and showrooms.
n
Prepare the annual HR operations plan and budget.
n
Employee Lifecycle Management
n
Oversee all employee processes from joining through separation.
n
Ensure timely completion of appointment letters, confirmations, transfers, promotions, increments and relieving documents.
n
Monitor probation and confirmation schedules.
n
Ensure accurate documentation for employee movements and status changes.
n
Coordinate smooth onboarding and exit-clearance processes.
n
HR Policies and SOPs
n
Develop, review and update HR policies in consultation with the CHRO and management.
n
Communicate HR policies clearly across all locations.
n
Ensure uniform interpretation and implementation of policies.
n
Maintain proper approval controls and policy documentation.
n
Conduct periodic policy-awareness programmes.
n
Attendance, Leave and Workforce Administration
n
Control attendance, leave, shift, weekly-off and holiday-management processes.
n
Ensure attendance is closed accurately and submitted to Payroll within the defined timeline.
n
Monitor late attendance, absenteeism, unauthorised leave and excessive overtime.
n
Ensure showroom duty rosters comply with business and legal requirements.
n
Resolve attendance and leave discrepancies promptly.
n
Payroll Coordination
n
Provide verified employee data and attendance inputs to the Payroll team.
n
Validate current joiners, exits, salary revisions, incentives, recoveries and deductions.
n
Ensure payroll inputs are accurate and submitted according to schedule.
n
Review payroll exceptions and resolve employee salary concerns.
n
Maintain maker-checker and approval controls for all payroll-related changes.
n
HRMS and Employee Records
n
Ensure the HRMS contains complete and accurate employee information.
n
Lead HR process automation and digitisation initiatives.
n
Maintain employee personal files, service records and statutory documents.
n
Control access to confidential employee information.
n
Conduct regular HRMS and employee-file audits.
n
Generate reliable HR data and reports for management decisions.
n
Regional and Showroom HR Operations
n
Guide Regional HR Managers and showroom HR representatives.
n
Ensure HR policies and processes are followed consistently across all locations.
n
Conduct periodic HR operational audits of regions and showrooms.
n
Resolve escalated employee and manager queries.
n
Support new-showroom openings, employee transfers and workforce deployment.
n
Employee Relations and Grievances
n
Establish a structured employee grievance-resolution process.
n
Ensure employee complaints are acknowledged, investigated and closed within defined timelines.
n
Support disciplinary enquiries and corrective-action processes.
n
Guide regional and functional managers in handling employee issues.
n
Maintain confidentiality and fairness in all employee-related matters.
n
Coordinate with the Employee Relations or Legal team when necessary.
n
Statutory Compliance and Audit Support
n
Coordinate compliance relating to employment records, working hours, leave, notices and statutory registers.
n
Work with the Compliance, Payroll and Legal teams on labour-law requirements.
n
Ensure timely closure of HR audit observations.
n
Provide employee documents and records during internal, statutory and management audits.
n
Monitor compliance requirements across different states.
n
Separation and Full-and-Final Settlement
n
Ensure resignations and terminations follow the approved process and delegation of authority.
n
Monitor notice periods, handover, clearances and recovery of company assets.
n
Coordinate timely full-and-final settlements with Payroll and Finance.
n
Ensure relieving and experience letters are issued after completing all requirements.
n
Conduct exit interviews and analyse reasons for attrition.
n
Recommend corrective action to improve employee retention.
n
HR Budget and Vendor Management
n
Prepare and monitor the HR operations budget.
n
Manage HR vendors such as background-verification agencies, HRMS providers, manpower contractors and documentation services.
n
Evaluate vendor performance, service quality and cost efficiency.
n
Ensure proper agreements, approvals and invoice verification.
n
HR MIS and Management Reporting
n
Prepare weekly and monthly HR dashboards for the CHRO and management.
n
Report employee strength, vacancies, joining, exits, transfers, absenteeism and attrition.
n
Track regional and department-wise employee costs.
n
Analyse HR trends and highlight risks requiring management attention.
n
Maintain a single, reliable source of employee data.
n
Team Leadership
n
Lead HR Operations Managers, Deputy Managers, Assistant Managers and Executives.
n
Define team responsibilities, service-level standards and performance targets.
n
Review team productivity and quality of work.
n
Train team members on HR policies, HRMS, documentation and compliance.
n
Develop suitable successors for key HR operations positions.
n
Qualification and Experience
n
MBA/PGDM in Human Resources or an equivalent qualification.
n
Approximately 15–20 years of HR experience, including at least 5 years in a senior HR operations role.
n
Experience in large retail, jewellery, FMCG or other multi-location organisations is preferred.
n
Strong knowledge of HR operations, HRMS, labour compliance, payroll coordination and employee relations.
