JOB DESCRIPTION

SUPPLY CHAIN & INVENTORY MANAGER

Location: Kolkata
Department: Supply Chain / Inventory Management
Designation: Supply Chain & Inventory Manager
Experience: 7-12 Years
Reporting To: Business Head / Management

1. JOB PURPOSE

The Supply Chain & Inventory Manager will be responsible for end-to-end management of jewellery inventory and supply chain operations across Shyam Sundar Jewellers.

The key objective is to ensure the right jewellery is available at the right store, at the right time and in the right quantity, while maintaining optimum inventory levels, reducing ageing stock and improving inventory productivity and working capital.

2. KEY RESPONSIBILITIES

A. Inventory Planning & Control

- Develop inventory planning systems for gold, diamond and other jewellery categories.
- Determine optimum inventory levels for each showroom and category.
- Analyse inventory based on value, weight, category, design, age and movement.
- Monitor fast-moving, slow-moving and non-moving inventory.
- Identify excess inventory and recommend corrective action.
- Ensure minimum stock-outs of important and fast-moving products.
- Establish inventory norms for individual stores and categories.

B. Inter-Store Inventory Management

- Monitor inventory across all Shyam Sundar Jewellers locations.
- Plan and control movement of jewellery between showrooms.
- Identify products lying idle at one location that can perform better at another location.
- Develop an effective inter-store transfer system.
- Ensure proper documentation and system updating for every movement.
- Monitor transfer turnaround time and stock availability.

C. Stock Ageing Management

- Prepare regular ageing reports for jewellery inventory.
- Establish ageing buckets such as 090, 91–180, 181–365 and 365+ days.
- Identify ageing products requiring management intervention.
- Work with merchandising and retail teams to create action plans for ageing inventory.
- Recommend transfers, promotions, redesigning, remaking or other appropriate actions.
- Reduce dead stock and improve inventory turnover.

D. Demand & Replenishment Planning

- Analyse historical sales and seasonal demand.
- Plan inventory requirements for festivals, wedding seasons and special campaigns.
- Establish store-wise replenishment requirements.
- Coordinate with merchandising and buying teams for upcoming requirements.
- Ensure availability of appropriate designs and weight ranges based on customer demand.
- Develop systematic replenishment rather than purely manual ordering.

E. Vendor & Production Coordination

- Coordinate with vendors, manufacturers, karigars and production teams.




- Monitor production and procurement schedules.
- Track order status and expected delivery dates.
- Ensure timely availability of products required by stores.
- Monitor vendor performance, quality and delivery timelines.
- Escalate delays and supply issues to management.

F. Gold Inventory Management

- Monitor gold inventory in terms of quantity, weight and value.
- Maintain proper reconciliation between physical stock and system stock.
- Track gold movement from procurement/production to warehouse and showroom.
- Ensure appropriate controls over gold issued for manufacturing and received from vendors.
- Coordinate with finance and management for regular reconciliation.
- Minimise unnecessary gold and working-capital blockage.

G. Warehouse & Stock Operations

- Establish efficient warehouse processes for jewellery receiving, tagging, storage and dispatch.
- Ensure systematic categorisation and location mapping of inventory.
- Implement strong controls for jewellery movement.
- Ensure timely physical stock verification and cycle counts.
- Investigate discrepancies and ensure corrective action.
- Maintain proper documentation and audit trails.

H. Inventory Accuracy & Systems

- Ensure 100% accuracy between physical inventory and ERP/system inventory.
- Develop appropriate inventory controls and SOPs.
- Monitor stock adjustments and unusual inventory movements.
- Coordinate with IT/ERP teams for system improvements.
- Prepare daily, weekly and monthly inventory MIS.
- Use data to identify inventory risks and opportunities.

3. MANAGEMENT REPORTING

The manager will prepare and present regular MIS covering:

- Total inventory – quantity, weight and value
- Store-wise inventory
- Category-wise inventory
- Fast-moving inventory
- Slow-moving inventory
- Ageing inventory
- Non-moving inventory
- Inter-store transfers
- Inventory turnover
- Stock-to-sales ratio
- Stock-outs
- Inventory discrepancies
- Vendor / production pending orders
- Gold utilisation and inventory productivity

4. KEY PERFORMANCE INDICATORS

Performance will be measured on:

Inventory Productivity

- Inventory turnover
- Stock-to-sales ratio
- Sales generated per unit of inventory
- Reduction in excess inventory

Ageing Control





- Reduction in 180+ day inventory
- Reduction in 365+ day inventory
- Improvement in movement of slow-moving products

Availability

- Reduction in stock-outs
- Availability of key categories at each showroom
- Replenishment efficiency

Accuracy

- Physical vs system stock accuracy
- Gold weight reconciliation
- Reduction in inventory discrepancies

Supply Chain

- Vendor delivery adherence
- Production turnaround time
- Inter-store transfer turnaround time
- Procurement-to-store availability

Working Capital

- Reduction in unnecessary gold inventory blockage
- Better utilisation of existing inventory
- Improved inventory-to-sales efficiency

5. CROSS-FUNCTIONAL RESPONSIBILITIES

The Supply Chain & Inventory Manager will work closely with:

Management / Business Head

Merchandising & Buying

Production / Manufacturing

Warehouse

Showrooms / Retail Sales

Finance & Accounts

The role should act as the bridge between demand, inventory, procurement, production and retail sales.

6. REQUIRED EXPERIENCE

- 7–12 years of experience in Supply Chain, Inventory or Warehouse Management.
- Experience in the jewellery industry is strongly preferred.
- Experience handling multiple stores/showrooms will be an advantage.
- Strong experience in inventory planning and stock ageing management.
- Experience with ERP-based inventory systems.
- Experience in warehouse operations, stock reconciliation and inter-store transfers.
- Robust understanding of working capital and inventory productivity.

7. REQUIRED SKILLS

The ideal candidate should not be only a stock controller.

He/she should be able to understand:

What stock do we have?
Where is it lying?
How old is it?
Why is it not moving?
Where should it move?
What should we replenish?
What should we stop buying?
How much working capital is blocked?
How can the same inventory generate higher sales?

The person should bring discipline, visibility, control and commercial thinking to the entire jewellery inventory cycle.
