About the Role
The Manager Import Operations & Trade Compliance will be responsible for leading and
managing end-to-end import operations, trade finance activities, customs clearance, logistics
coordination, and regulatory compliance. The role will ensure timely availability of imported
materials while maintaining compliance with RBI, FEMA, DGFT, Customs, and IDPMS
requirements.
The incumbent will act as the key interface between Procurement, Finance, Production
Planning, Overseas Suppliers, Freight Forwarders, Shipping Lines, Customs Authorities, and
Banking Partners to ensure seamless execution of import transactions and uninterrupted supply
to manufacturing operations.
Key Responsibilities
Import Operations Management
•
Lead the complete import lifecycle from Purchase Order confirmation to final cargo
delivery.

Establish and monitor import operation SOPs and compliance controls.




Ensure timely execution of all import transactions with minimum delays and cost
overruns.

Review and approve critical import documentation before submission to external
agencies.

Purchase Order & Supplier Coordination

Review Purchase Orders issued by Procurement for import transactions.
Verify foreign currency pricing, payment terms, Incoterms, and shipment schedules.
Coordinate with overseas suppliers for order execution, shipment planning, and
documentation.

Drive supplier adherence to agreed dispatch timelines.
Trade Finance & Banking Coordination
•
Manage import remittances, advance payments, and Letter of Credit (LC)
transactions.

Coordinate with AD Banks for LC issuance, amendments, and payment processing.
Ensure compliance with FEMA and RBI guidelines for all import payments.
Monitor outstanding import payments and ensure timely reconciliation.
Logistics & Shipment Management
•

Manage freight forwarders, shipping lines, transporters, and logistics partners.
Monitor shipment movements and proactively address transit delays.
Optimize freight and logistics costs while ensuring service reliability.
Ensure timely movement of imported cargo to manufacturing facilities.
Customs Clearance & Regulatory Compliance

Oversee customs documentation and clearance activities.
Coordinate with Customs House Agents (CHA) for timely filing and cargo clearance.
Ensure compliance with Customs, DGFT, FEMA,



and Foreign Trade Policy
regulations.

Manage audits, regulatory inspections, and compliance reviews.
Shipping Line & Cargo Management
•

Manage shipping line relationships and documentation requirements.
Ensure timely payment of shipping charges and collection of cargo release
documents.

Minimize detention, demurrage, and port-related costs through proactive
coordination.
Cargo Insurance & Risk Management
•

Ensure adequate insurance coverage for all import consignments.
Manage insurance claims and dispute resolution.
Identify operational risks and implement preventive measures to safeguard business
interests.

IDPMS Compliance Management

Own and monitor the organization's IDPMS compliance process.
Verify Bill of Entry details against import remittances and shipment records.
Coordinate with AD Banks for reconciliation and closure of import transactions.
Ensure timely submission and closure of all IDPMS-related requirements.
Maintain 100% compliance with RBI and DGFT regulations.
MIS, Reporting & Process Improvement
•

Develop and publish import operation dashboards and MIS reports.
Monitor key metrics such as shipment lead time, customs clearance TAT, LC
processing time, and compliance status.

Drive process improvement initiatives to enhance operational efficiency and reduce
costs.
Identify automation opportunities within import documentation and compliance
processes.
Experience, Skills & Attributes
812 years of experience in Import Operations, International Trade, Supply Chain, Logistics, or
Procurement.
Solid exposure to import documentation, LC, IDPMS, FEMA, RBI, DGFT, and Customs
regulations.
¢ Strong knowledge of ERP systems such as SAP, Oracle, Microsoft Dynamics, or Odoo.
