We are looking for a highly organised and proactive Webinar & Virtual Events Operations Executive to manage the end to end execution of webinars, virtual sessions, and all online events for Holistic Therapist Gayathri. This role will be responsible for ensuring seamless event delivery, from technical setup and speaker coordination to live session management and post event follow ups.
The ideal candidate is comfortable with technology, detail oriented, calm under pressure, and strong in coordination and communication, with the ability to create smooth and engaging virtual experiences for our audience.
What you'll do
Webinar/Meeting Production
- Set up Zoom Webinars/Sessions end to end:registration pages, reminder emails, polls, Q&A;, panellist invites.
- Run sessions live: manage panellists, screen share, polls and Q&A;
- Do a tech check with speaker before the session and share a run of show.
- Record, trim and upload sessions , share recordings with attendees whenever required.
Backend Operations
- Maintain the Webinars/Sessions calendar and coordinate with the speaker for slots and session materials.
- Update registrations and attendance in the CRM, send confirmation and follow up emails
- Prepare attendance and engagement reports in Excel after every session.
- Keep checklists and process documents up to date.
What we're looking for
- 1 - 4 years in technical support, customer support, virtual events or marketing operations
- Hands on experience with Zoom Meetings and Webinars.
- Excel: sorting, filtering, VLOOKUP, pivot tables
- Transparent written and spoken English , comfortable emailing speakers and attendees
- Calm under pressure and able to handle live technical issues effectively
- Organised and proactive: chases people for slides before being asked
- Flexible with working hours and available to work on weekends.One weekday will be provided as the weekly day off.
