KEY RESPONSIBILITIES:

Team leadership

· Lead, train and supervise the operations team; assign daily tasks and set priorities.

· Monitor workload, output quality and deadlines; step in on escalations.

· Run short daily or weekly team check-ins and report progress to VSTL management.

· Conduct performance reviews and support hiring and onboarding of new team members.

Order and inventory operations

· Oversee the full order cycle: purchase orders (PO), proforma invoices (PI), commercial invoices and delivery.

· Supervise physical stock counts at warehouses and PO reconciliation reports (ordered vs. received quantities).

· Make sure CPUs, HDDs and other items are correctly described, graded (good/bad) and recorded.

· Keep inventory records and the CRM/ERP system (e.g., Zoho CRM) accurate and up to date.

Shipping and documentation

· Review and approve packing lists, carton markings, invoices and export documents before dispatch.

· Coordinate with freight forwarders, couriers and warehouses on pickups, shipments and tracking.

· Ensure documents meet customs and destination-country requirements (e.g., India, Hong Kong).

Customer and vendor coordination

· Act as the escalation point for customer and vendor issues; resolve them quickly and professionally.

· Handle shortage and bad-item claims: verify counts, prepare claim reports and follow up to settlement.

· Build good working relationships with key suppliers, buyers and logistics partners.

Reporting and process improvement

· Prepare daily, weekly and monthly operations reports (orders, shipments, claims, pending issues).

· Create and maintain standard formats and SOPs for packing lists, reconciliation and claim reports.

· Find delays,



errors and repeated issues, and put fixes in place.

· Ensure company data and documents are handled securely and confidentially.

QUALIFICATIONS AND SKILLS

Required

· Graduate in any discipline (commerce, business or supply chain preferred).

· 5+ years in operations, logistics or trade back-office work, including 2+ years leading a team.

· Working knowledge of export/import documents: PI, commercial invoice, packing list, airway bill.

· Strong MS Excel skills (VLOOKUP/XLOOKUP, pivot tables, reconciliation sheets).

· Experience with a CRM or ERP system; Zoho CRM preferred.

· Clear written and spoken English for daily communication with Hong Kong and international partners.

Preferred

· Experience in IT hardware or electronic components trading (CPUs, HDDs, memory, used/refurbished equipment).

· Basic knowledge of computer hardware and product identification.

· Familiarity with customs rules for India and Hong Kong shipments.
