Role Summary

n

The role will be responsible for ensuring a safe, efficient, compliant, disciplined, and employee-friendly workplacewhile managing internal teams, vendors, infrastructure, employee transportation, security, budgets, and workplace services.

n

We are looking for someone who views Administration and Facilities as an operational function, not simply a support function, and who is comfortable being highly visible and hands-on in a fast-paced, 24/7 environment.

Key Responsibilities

n

n
- Lead overall administration and facility operations, ensuring smooth day-to-day functioning of the office.
n
- Manage and mentor the Administration and Facilities team, including manpower planning, performance management, accountability, and service delivery.
n
- Manage key workplace services including employee transportation, security, housekeeping, cafeteria, maintenance, reception, office infrastructure, and general workplace services.
n
- Own vendor management, including vendor selection, negotiations, contracts, AMC/SLA management, performance reviews, invoice validation, and issue resolution.
n
- Ensure effective management of electrical systems, HVAC, DG/UPS, fire and life safety, access control, CCTV, and other critical facility systems.
n
- Oversee employee transportation operations, including route management, safety, vendor performance, service reliability, and cost optimization.
n
- Manage physical security, access control, incident response, emergency preparedness, and workplace safety.
n
- Drive cost optimization, budgeting, procurement, and expense control across administration and facility operations.
n
- Ensure compliance with statutory, workplace, safety, security, and regulatory requirements.
n
- Partner closely with HR, IT, Finance, Operations,



and senior leadership to address workplace and business requirements.
n
- Manage office expansion, relocation, renovation, seating requirements, leadership and client visits, audits, and other facility projects.
n
- Prepare and present MIS reports, operational dashboards, vendor scorecards, budgets, transportation metrics, security metrics, and key facility KPIs to leadership.
n
- Drive continuous improvement in workplace experience, operational efficiency, safety, security, service quality, and employee satisfaction.
n
- Respond quickly and effectively to facility emergencies, security incidents, transportation issues, and operational disruptions.

Candidate Profile

n

n
- 10–15 years of relevant experience in Administration and Facilities Management, preferably within IT / ITES / BPO / Shared Services organizations.
n
- Proven experience managing a large corporate office and/or 24/7 BPO environment.
n
- Strong experience in team leadership and managing multiple facility and service vendors.
n
- Solid exposure to facilities operations, transportation, security, vendor negotiations, contract management, budgeting, cost control, and compliance.
n
- Highly energetic, proactive, disciplined, and hands-on, with a strong sense of ownership and accountability.
n
- Strong stakeholder management, communication, negotiation, crisis-management, and problem-solving skills.
n
- Must be fluent in English, with excellent written and verbal communication skills.
n
- Bachelor's degree in a relevant discipline; certification in Facility Management, Administration, Safety, or Security will be an added advantage.
n
- Prior experience in the Armed Forces, Police, Security Services, or another disciplined services environment is a strong plus, particularly when combined with subsequent corporate Administration or Facilities experience.
