Role Overview

We are looking for an experienced Travel Head to lead and manage the company's end-to-end corporate travel operations. The role will be responsible for managing domestic and international travel, travel vendors, employee travel requirements, travel policies, cost optimization, and ensuring a seamless travel experience for employees, leadership, and business stakeholders.

The ideal candidate should have strong vendor management, negotiation, operational, and problem-solving skills, along with the ability to manage high-volume and time-sensitive travel requirements.

Key Responsibilities

1. Corporate Travel Management

- Own end-to-end corporate travel operations for employees, leadership, and business stakeholders.
- Manage domestic and international air travel, hotel bookings, ground transportation, visas, travel insurance, and other travel-related requirements.
- Coordinate travel arrangements for business meetings, conferences, events, factory visits, market visits, and official trips.
- Ensure smooth travel planning and execution from booking to completion of travel.
- Handle urgent and last-minute travel requirements effectively.

2.Travel Policy & Process Management

- Develop, implement, and continuously improve the company's corporate travel policy.
- Establish clear guidelines for flight, hotel, cab, local conveyance, and other travel expenses.
- Ensure travel bookings are made in accordance with company policies and approval matrices.
- Establish standard processes for travel requests, approvals, bookings, cancellations, and reimbursements.
- Monitor policy adherence and identify areas for improvement.

3.Vendor Management

- Identify, onboard, and manage travel agencies, airlines, hotels, cab operators, visa consultants, and other travel partners.
- Negotiate competitive rates, corporate deals, contracts, and service-level agreements.
- Regularly evaluate vendor performance, service quality, responsiveness, and pricing.
- Build solid relationships with key travel partners.
- Resolve vendor-related escalations and service issues.

4.Cost Management & Optimization

- Drive cost optimization across flights, hotels, transportation, and other travel expenses.




- Negotiate corporate rates and preferential pricing with travel vendors.
- Monitor travel spends and prepare periodic MIS and cost reports.
- Identify opportunities to reduce unnecessary travel expenses without compromising business requirements.
- Track budget versus actual travel expenditure.

5.Leadership & Executive Travel

- Manage travel requirements for founders, senior management, and leadership teams.
- Handle confidential and high-priority travel arrangements with accuracy and discretion.
- Coordinate complex itineraries involving multiple destinations and tight schedules.
- Ensure premium travel requirements are managed seamlessly.

6.Visa & International Travel

- Manage visa documentation and coordination for international business travel.
- Coordinate with visa consultants, embassies, and relevant agencies wherever required.
- Ensure employees have all necessary travel documents before departure.
- Track visa validity, passport requirements, travel insurance, and other documentation.

7.Employee Travel Support

- Act as the primary point of contact for employee travel-related queries and escalations.
- Ensure timely resolution of booking, cancellation, rescheduling, hotel, cab, and other travel issues.
- Provide travel support during emergencies or unexpected changes.
- Ensure employees receive clear and timely communication regarding their travel arrangements.

8.Travel Technology & Systems

- Evaluate and implement travel management platforms/tools wherever required.
- Improve automation of travel requests, approvals, bookings, and reporting.
- Maintain accurate employee travel records and vendor databases.
- Use data and analytics to monitor travel trends and identify cost-saving opportunities.

9.Compliance & Documentation

- Ensure proper documentation and compliance related to corporate travel.
- Maintain contracts,



vendor agreements, invoices, travel records, and other relevant documentation.
- Coordinate with Finance and HR teams for travel expense reconciliation and reimbursements.
- Ensure timely verification and processing of travel invoices.

10.Team Management

- Lead and mentor the travel/admin team.
- Allocate responsibilities and ensure timely execution of travel requirements.
- Set performance standards and monitor team productivity.
- Build a responsive and service-oriented travel support function.

Required Skills

- Strong knowledge of corporate travel management.
- Excellent knowledge of domestic and international travel processes.
- Strong vendor negotiation and relationship management skills.
- Excellent communication and interpersonal skills.
- Strong cost-management and analytical skills.
- Ability to handle multiple priorities and urgent requirements.
- Strong problem-solving and crisis-management skills.
- Good knowledge of travel policies, booking systems, and travel documentation.
- Proficiency in MS Excel and travel management systems/tools.
- High level of confidentiality and discretion, especially while handling leadership travel.

Eductaion Graduate degree in Travel & Tourism, Hospitality Management, Business Administration, or a related field .

Experience

- 7–8 years of relevant experience in corporate travel management, travel operations, or a similar role.
- Experience managing travel for a growing organization or large employee base will be preferred.
- Experience in managing senior leadership/executive travel is an added advantage.
- Experience in vendor negotiations, travel cost optimization, and policy implementation is preferred.
