We are looking for a Travel Coordinator who is organised, intuitive, detail-driven and genuinely passionate about creating exceptional travel experiences. This role is at the heart of bringing our bespoke journeys to life — translating thoughtfully designed itineraries into seamless, beautifully executed experiences for our clients.

You will work closely with our Travel Designers, clients and global network of hotels, DMCs, airlines,



lodges and experience partners to coordinate every element of a journey, from the first confirmed reservation to the client's return home.

The RoleAs a Travel Coordinator, you will manage the operational and logistical details behind our clients' journeys, ensuring that every arrangement is accurate, seamless and reflective of the experience we have promised.

Your responsibilities will include

- Coordinating end-to-end travel arrangements, including flights, luxury hotels and resorts, private transfers, guides, experiences, restaurants and special requests.
- Translating bespoke itineraries into precise and seamless travel arrangements, ensuring every detail is confirmed and documented.
- Working closely with our Travel Designers to understand the nuances of each client and ensure their preferences are reflected throughout the journey.
- Liaising with hotels, DMCs, airlines, chauffeurs, guides and experience providers across the world to secure and reconfirm arrangements.
- Preparing and maintaining accurate itineraries, booking records, vouchers, confirmations and travel documentation.
- Managing amendments, cancellations, upgrades, special occasions, room preferences, dietary requirements and other personalised requests with discretion and attention to detail.
- Monitoring journeys before and during travel and proactively addressing changes or unexpected situations.
- Communicating clearly and promptly with clients, suppliers and internal teams to ensure everyone is aligned.
- Supporting the team with visa, insurance and other essential travel documentation and requirements.
- Keeping track of deadlines, deposits, cancellation policies, payment schedules and supplier terms.
- Maintaining strong supplier relationships and ensuring that the quality of delivery consistently matches the standards of The Pravasi.
- Providing thoughtful support to clients before, during and after their journeys.

Celebrations & Special OccasionsThe Pravasi also creates beautiful celebrations and milestone experiences,



and the Travel Coordinator will play an important role in bringing these to life. This may include coordinating destination celebrations, milestone birthdays, anniversaries, family gatherings and intimate events — from venue arrangements and private dining to entertainment, transfers, guest movements, personalised touches and on-ground logistics.

These are not simply events to be organised. They are moments to be remembered, and every detail matters.

What We're Looking ForWe are looking for someone who combines precision with a genuine understanding of luxury service.

You should have

- Experience in luxury travel, leisure travel, hospitality, destination management or a related field.
- Robust knowledge of travel coordination and the ability to manage complex, multi-destination itineraries.
- Experience arranging flights, luxury accommodation, transfers, excursions, experiences and other travel services.
- Exceptional organisational skills and an ability to manage multiple journeys simultaneously without losing sight of the details.
- A naturally high level of attention to detail — you notice the things others might overlook.
- Excellent written and verbal communication skills, with the ability to communicate professionally with HNI/UHNWI clients and international suppliers.
- Strong follow-up skills and the ability to take ownership of tasks from beginning to completion.
- Familiarity with reservation systems, GDS platforms and travel booking tools is an advantage.
- Understanding of visas, travel documentation, insurance and international travel requirements.
- The ability to remain calm, resourceful and solution-oriented when plans change or unexpected situations arise.
- A willingness to work flexible hours when required, particularly when supporting clients travelling across different time zones.
