Role & responsibilities
- Prepare manpower requirements with department heads; manage job descriptions, sourcing, screening, interviews, reference checks, selection coordination and offer/onboarding documentation for technical and non-technical positions.
- Complete joining formalities, employee files, KYC, appointment letters, induction, policy acknowledgement, bank/statutory documentation and probation tracking.
- Maintain attendance, shift/roster, overtime, leave and absenteeism records; coordinate corrections with supervisors and prepare accurate payroll inputs.
- Provide verified attendance, overtime, incentives, deductions, advances and other approved payroll inputs to Accounts/payroll; ensure timely closure and confidentiality.
- Coordinate PF, ESI, professional tax, labour-law registers, bonus/gratuity and other applicable statutory records/returns with authorized consultants/accounts; track due dates and compliance evidence.
- Implement HR policies, code of conduct, shift discipline, attendance discipline, grievance handling and disciplinary processes in coordination with management.
- Receive and resolve employee concerns fairly; maintain grievance records, counselling notes and escalation records while protecting confidentiality.
- Identify training needs with Production/Quality/Safety teams; maintain skill matrix, induction training, refresher training and competency records.
- Coordinate probation reviews, KPI/appraisal cycles, confirmation recommendations, performance improvement plans and annual appraisal documentation.
- Maintain manpower pipeline, critical-position tracker, joining ratio and attrition analysis; support retention initiatives for skilled fabrication and engineering manpower.
- Prepare monthly HR MIS covering headcount, recruitment, attrition, absenteeism, overtime, manpower cost, attendance, training and statutory compliance status.
- Coordinate with EHS/plant teams for induction,
PPE awareness, statutory welfare requirements, incident documentation and employee welfare initiatives.
- Where applicable, maintain contractor manpower records, attendance and compliance documentation and coordinate with contractors for statutory requirements.
- Implement approved HR policies, SOPs, forms and document-control systems; periodically recommend practical improvements.
- Manage resignation/exit formalities, clearance, exit interviews, asset handover and coordination with Accounts for full-and-final settlement.
- Maintain secure employee records, salary information, disciplinary documents and management correspondence with high confidentiality.
Preferred candidate profile
- Strong knowledge of recruitment, employee lifecycle management and factory HR operations.
- Practical understanding of PF, ESI, bonus, gratuity, professional tax and other applicable labour/statutory compliance requirements.
- Attendance, shift, overtime, leave and payroll-input management.
- Employee relations, grievance handling, disciplinary procedures and workplace communication.
- Training coordination, competency development and skill-matrix management.
- HR MIS, headcount, attrition, absenteeism and manpower-cost analysis.
- Strong MS Excel and HRMS/ERP exposure; ability to maintain accurate HR databases.
- Understanding of industrial/manufacturing shop-floor environment and blue-collar workforce management.
- Robust communication, negotiation, confidentiality, integrity, problem-solving and follow-up discipline.
- Accurate monthly attendance/payroll inputs and controlled employee records.
- 100% tracking of applicable statutory compliance due dates and documentation.
- Updated skill matrix, training records, appraisal and probation-review status.
- Reliable monthly HR MIS and actionable workforce analytics for management.
