Senior Executive / Assistant Manager Export & Import (ExIm)
Position Summary
We are looking for an experienced Senior Executive / Assistant Manager – Export & Import to independently manage day-to-day Export & Import operations, documentation, Customs/DGFT compliance and coordination with CHA, Freight Forwarders, Shipping Lines, Transporters, Banks, Customers and internal departments.
The candidate should have strong hands-on experience in Export & Import documentation, Customs clearance, shipment coordination, regulatory compliance and post-shipment activities, with good follow-up and communication skills.
Key Responsibilities
1. Export & Import Operations
- Independently handle Export & Import shipments from order/shipment planning through Customs clearance, dispatch and post-shipment documentation.
- Coordinate with Factory, Warehouse, CHA, Freight Forwarders, Shipping Lines, Transporters, Banks and Customers for timely execution of shipments.
- Monitor shipment schedules, container movement, Customs clearance and delivery status.
- Coordinate import shipment arrival, Customs clearance and delivery to the factory.
- Ensure compliance with applicable DGFT, Customs, FEMA, RBI, GST and other relevant regulations.
2. Documentation & Compliance Prepare, verify and maintain accurate Export & Import documentation, including:
- Pre-shipment and post-shipment documents.
- Commercial Invoice, Packing List, Shipping Bill, Bill of Entry and related documents.
- Certificate of Origin, Test Reports and Health Certificates, wherever applicable.
- Third Country / Merchant Trade documentation.
- ISF filing sheets for USA shipments.
- REX declarations and related DGFT submissions.
- Marine Insurance / export certificate details.
- PD Bond, ADC NOC Bond and Container Bond documentation.
- E-way Bills and release documents.
- Other documents required by customers,
banks, Customs and regulatory authorities.
3. Customs & Logistics Coordination
- Coordinate with CHA / Customs for export and import clearance.
- Provide required documents and information to CHA within prescribed timelines.
- Follow up on Shipping Bills, Bills of Entry, Customs queries, examination, clearance and release.
- Coordinate with Freight Forwarders, Shipping Lines and Transporters for container placement and cargo movement.
- Track shipments and proactively follow up on delays or operational issues.
4. Banking & Post-Shipment Activities
- Coordinate with Banks for export-related documentation and submission of shipping documents.
- Monitor export documentation and follow up for completion / realization of export proceeds.
- Coordinate with Accounts / Finance for export realization and related documentation.
- Update Accounts regarding arrival and clearance of import shipments.
5. Records & MIS
- Maintain complete Export & Import records, both manually and electronically.
- Maintain Export / Import Registers, Order & Shipment Statements, shipment tracking records and other operational records.
- Prepare regular ExIm MIS and shipment status reports for management.
- Ensure proper filing and retrieval of documents for audit and compliance purposes.
Key Coordination The candidate will regularly coordinate with:
Factory | Accounts & Finance | Sales / Commercial | CHA | Customs | Freight Forwarders | Shipping Lines | Transporters | Banks | DGFT / Regulatory Authorities | Overseas Customers / Agents
Required Skills & Competencies
- Strong practical knowledge of Export & Import documentation and procedures.
- Good knowledge of Customs clearance and CHA coordination.
- Working knowledge of DGFT procedures, Shipping Bills, Bills of Entry, REX, Certificate of Origin and E-way Bills.
- Understanding of Incoterms and export payment terms such as LC, DP, DA, Advance and Open Account.
- Knowledge of freight forwarding, containerization, marine insurance and international shipping processes.
- Good working knowledge of MS Excel, Word and email communication.
- Excellent communication, coordination and interpersonal skills.
- Strong attention to detail, follow-up and organizational ability.
- Good analytical and problem-solving skills.
- Ability to handle multiple shipments and meet strict timelines.
- Proactive approach with strong ownership and accountability.
Education & Experience
- Bachelor's degree in Commerce, International Trade, Logistics, Supply Chain or related field.
- 5–8 years of relevant hands-on experience in Export & Import operations.
- Experience in manufacturing / pharmaceutical / chemical / engineering or other export-oriented industries will be preferred.
- Practical experience in Export Documentation, Customs Clearance, CHA coordination, Freight Forwarding and Import Operations is essential.
- Candidates with only Export Sales / International Marketing experience, without hands-on ExIm operations experience, may not be suitable.
