2 Job Purpose

Responsible for organizing, coordinating, and executing the timely and despatch of finished goods OTIF, ensuring availability of packing material, matching shipping documents with physical material, handling e-commerce billing and despatch, and coordinating with internal stakeholders to ensure smooth outbound operations.

3 Key Responsibilities

Packing Material Coordination

- Coordinate with the Purchase team to ensure timely availability of packing materials (cartons, pallets, straps, labels, etc.)
- Track packing material stock levels and raise indents in advance to avoid despatch delays
- Follow up with Purchase/Stores on pending packing material orders
- Report shortages or quality issues in packing material promptly

Documentation & Verification

- Verify that shipping documents (invoice, packing list, e-way bill, LR, delivery challan) match the physical material being despatched
- Cross-check quantity, batch numbers, and product details on documents against actual goods before loading
- Ensure all despatch documents are complete, accurate, and signed before vehicle release
- Maintain proper records/files of despatch documents for audit and traceability
- Flag and resolve discrepancies between documentation and physical stock before despatch

E-commerce Billing & Despatch

- Generate invoices/e-way bills for e-commerce/marketplace orders (Amazon, Flipkart, own website, etc.) as per portal and statutory requirements




- Ensure correct labeling (SKU, barcode, shipping label) as per e-commerce marketplace guidelines
- Coordinate with e-commerce/marketplace teams for order confirmation, pickup scheduling, and shipment tracking
- Handle B2C invoicing requirements distinct from B2B/bulk despatch (single-piece packing, COD documentation, etc.)
- Track and resolve e-commerce order issues such as failed deliveries, returns (RTO), and cancellations
- Maintain records of e-commerce despatches, courier handover, and tracking numbers
- Ensure timely handover of e-commerce shipments OTIF to courier/logistics partners as per cut-off times
- Reconcile e-commerce order data with billing and despatch records to avoid mismatches

Internal Stakeholder Coordination

- Coordinate with Production to get updates on finished goods readiness and despatch schedules
- Coordinate with QA to ensure only quality-cleared/released material is despatched
- Coordinate with Stores for stock availability, picking, and staging of material for despatch
- Coordinate with Outward Security for gate pass generation, vehicle entry/exit verification, and compliance with security checks
- Act as a single point of contact between departments to avoid despatch delays or errors

General Despatch Operations

- Plan and schedule despatches as per dispatch plan/customer delivery timelines OTIF
- Supervise loading of goods to ensure protected handling and correct sequencing
- Maintain despatch registers/trackers (daily despatch report, vehicle log, etc.)
- Ensure compliance with safety and statutory norms during loading and despatch
- Report daily despatch status to the Despatch Supervisor/Logistics Manager

4 Required Skills & Competencies

- Good coordination and communication skills to liaise with multiple departments
- Strong computer skill MS Office Power Point,



SAP.
- Familiarity with e-commerce marketplace portals (Amazon Seller Central, Flipkart Seller Hub, etc.) preferred
- Attention to detail for document-to-material verification
- Understanding of GST/e-way bill documentation
- Ability to work under pressure and manage time-sensitive despatch schedules
- Physical stamina to supervise loading/warehouse floor activity

5 Qualifications

- Any degree holder
- 5 to 10 years of experience in despatch, warehouse, or logistics operations
- Prior experience in manufacturing/FMCG/e-commerce/warehousing environment preferred

6 Key Performance Indicators (KPIs)

- On-time despatch rate (B2B and e-commerce)
- Accuracy of despatch documentation vs. physical material
- E-commerce order fulfillment accuracy and cut-off adherence
- Packing material stock-out incidents
- Turnaround time for interdepartmental coordination (Production/QA/Stores)
- Number of despatch-related discrepancies/complaints (including RTO/returns)
