About Arbour & the RoleArbour Alternate Advisors Private Limited is a Mumbai-based investment management firm focused on structured real estate credit and high-yield debt strategies, operating in the alternative investments space. We manage institutional-grade investment opportunities delivering superior risk-adjusted returns through a strong network of strategic distribution partners spanning Wealth Management Firms, National Distributors, Independent Financial Advisors (IFAs), Multi-Family Offices, Private Banks, Asset Management Companies (AMCs), and other strategic channel partners.

CRM currently Zoho — is where Fund Raising, Investor Relations and Marketing manage leads, deals, pipelines, campaigns, and conversations with partners/investors.

Arbour

Investment & Monitoring System (AIMS) is the system of record for money: what an investor committed, paid, or was paid becomes true there. Numbers may flow from AIMS into the CRM for visibility; they must never flow the other way. This role owns that boundary and ensures the CRM is accurate, secure, well-governed, useful, and trusted. It is a hands-on, single-owner role reporting directly to the COO, with authority to stop requests that break the rule and take responsibility to find a safe way to support everything else.

Key Responsibilities

A. Protecting the Arbour Investment & Monitoring System boundary

- Review any request that could let money information be entered or changed from the CRM side; stop it or escalate genuine exceptions to the COO.
- If money data is wrongly pushed into AIMS from the CRM, stop it immediately, investigate the cause, and permanently close the route.
- Monitor CRM–AIMS discrepancies; fix CRM-side issues and escalate AIMS-side issues to the appropriate owner.

B. Changes, releases and change control

- Build CRM changes first in a safe test/sandbox copy, never directly in live; obtain team review and approval before release.
- Maintain a written change log covering what changed, when, who approved it, and the rollback method.
- For larger releases, brief affected teams and keep how-to documentation/internal guides current.
- Set up automated CRM actions (e.g., auto-assigning new sales leads) and test thoroughly before activation.

C. Deals, data and integrations

- Set up new investment deals,



sales pipelines and marketing campaigns in the CRM whenever a new deal is launched.
- Plan large data migrations/bulk imports in advance; keep a backup and verify data before and after loading.
- Before buying/importing investor data externally, confirm use is permitted under the investor’s consent.
- When CRM errors recur (duplicates, blank required fields, bad entries), fix the underlying setting rather than only correcting individual records.
- Connect CRM with business tools including email, WhatsApp, marketing automation and analytics; regularly verify integrations.

D. Reporting and Fund Raising → Investor Relations handover

- Build CRM reports/dashboards for relevant teams. Any report containing a money figure must be reviewed and signed off by Finance; money figures are never calculated inside the CRM.
- Ensure every new sales lead has a clear source and is automatically routed to the right salesperson without delay.
- Design and maintain the automatic handover from Fund Raising, which brings in new investors, to Investor Relations, which manages them afterward, so no investor or context falls through the gap.

E. Access, onboarding and security

- Grant new employees CRM access on day one, scoped only to their role; remove/adjust access the same day they change role or leave.
- Train every current joiner on CRM before they touch a live record.
- Act as CRM-side IT/security contact during security incidents and support investigations using system knowledge.
- Handle CRM-side personal data requests (access, correction, deletion) within legally required timeframes.

F. Vendors and outside help

- When external CRM support is needed, compare at least two options, verify data trustworthiness, and contract for data handling, including end-of-relationship treatment.
- Give vendors only necessary access, through named logins with an end date; never shared credentials or open-ended access.
- Confirm agreed work was delivered before approving invoices.
- On termination, remove vendor access immediately and obtain written confirmation that Arbour data has been returned or deleted.

G. Day-to-day support





- Run the CRM help desk and resolve/fix reported issues within agreed response times.
- For recurring questions/problems, fix the root cause rather than repeatedly addressing the symptom.
- If a team consistently fails to use the CRM properly, escalate to its manager and the COO using actual usage data.
- If CRM goes down, notify affected teams immediately, help them continue working, restore service, and document how recurrence will be prevented.

Candidate Profile

Basic Requirement

- 3 –6 years managing a CRM system (such as Zoho), ideally within financial services or a comparable regulated environment.
- Demonstrated habit of testing every change safely before making it live, always with a rollback plan.
- Working understanding of data privacy fundamentals — handling personal-data requests correctly and reporting data incidents on time.
- Real experience managing contracts and relationships with outside vendors, including data handling and offboarding terms.
- Comfortable saying no and escalating when a rule genuinely matters, rather than finding a workaround that quietly breaks it.
