PURPOSE OF THE ROLE The Purchase Executive is responsible for supporting the procurement function by ensuring timely sourcing, vendor coordination, purchase order processing, and material availability for manufacturing and project requirements. The role requires close coordination with Engineering, Stores, Projects, Quality, and Finance teams to ensure uninterrupted operations and on-time project execution.

KEY RESPONSIBILITIES

A. Procurement & Purchase Operations

- Process Purchase Requisitions (PRs) received from various departments.
- Obtain quotations from approved vendors and prepare comparative statements.
- Generate and issue Purchase Orders (POs) after obtaining necessary approvals.
- Follow up with vendors to ensure timely delivery of materials and services.
- Coordinate with vendors for order acknowledgements, dispatch details, and delivery schedules.
- Maintain accurate records of RFQs, quotations, POs, and vendor communications.
- Support identification and onboarding of recent vendors as required.
- Assist in vendor performance monitoring and maintenance of Approved Vendor List (AVL).
- Coordinate with Logistics/EXIM team for imported materials and components.




- Ensure procurement activities comply with company policies and project requirements.

B. Vendor Coordination

- Build and maintain professional relationships with suppliers.
- Track vendor commitments and escalate delivery delays proactively.
- Resolve routine procurement-related issues with suppliers.
- Coordinate for replacement, warranty claims, and material discrepancies.

C. Documentation & MIS

- Maintain procurement trackers and update status of all open purchase orders.
- Prepare weekly and monthly procurement reports.
- Maintain records of cost savings, supplier performance, and procurement activities.
- Ensure all procurement transactions are recorded in ERP/Zoho systems on time.
- Update and manage procurement-related tasks in Asana.

D. Coordination with Stores & Projects

- Coordinate with Stores for GRN status and receipt confirmations.
- Follow up on pending deliveries and expedite critical materials.
- Work closely with Project and Production teams to understand material priorities.
- Assist in inventory planning by tracking frequently consumed materials and reorder requirements.
