This isn't a support seat where you wait to be told what's next. You'll be the person holding the thread across multiple moving pieces at once — tasks started by one person, handed to another, waiting on a third — and it's on you to make sure nothing drops in the handoff. That means tracking commitments other people forget they made, following up until things actually close, and being comfortable telling a co-founder that something is behind schedule.
Most people underestimate how much discipline it takes to keep other people's work moving without owning the work itself.
But it's also the seat where you learn how a company actually runs underneath the org chart — how decisions move from a conversation into an outcome, how priorities get triaged when three things are urgent at once, and how to earn the trust to be handed sensitive, unfinished, or unofficial information and keep it that way. No prior experience managing executives is required;
what we're looking for is someone who can be trusted to keep the machine moving, exercise real judgment on what matters most, and wants that responsibility to grow.
Do it well for six months, and you're not just confirmed — you're on a documented path to owning more of the coordination layer directly, faster if you earn it.
Responsibilities
Assist with project and task management across internal and external projects
Coordinate a clean pass-the-baton handoff between stakeholders to keep tasks and objectives moving to completion
Track action items and commitments from meetings and calls, following up until closed
Communicate clearly and effectively with all stakeholders
Draft and manage correspondence on behalf of CXOs
Anticipate, research, discuss, and execute tasks around the basic day-to-day functioning of the company, not just tasks explicitly assigned by a stakeholder
Handle day-to-day administrative and scheduling support as part of the broader role
Exercise discretion with sensitive and confidential information
Must Have
Bachelor Degree or Higher (in any discipline)
Organisational skills
Explicit, effective communication with all stakeholders
Basic understanding of using Kanban boards
Eagerness to learn new tools and processes
Critical thinking
Logical reasoning and task execution
Willingness to work in shifts as and when needed
Nice to have
Bachelor's degree in Business Administration (Post Graduate (PG)/Masters is an additional bonus)
Background in Sales
Understanding of Scrum
Ability to maintain a formal project tracker
AI Expectations
Artificial Intelligence (AI) is a tool you'll use daily — not a replacement for your own judgment. You'll use it to draft correspondence, prepare research briefs, organise trackers, and summarise meetings or long threads into clear action items. Anything AI produces that touches a real commitment, a real fact, or goes to a stakeholder outside this role — dates, names, figures, statuses — is expected to be verified against the actual source before it's treated as accurate or sent onward.
