Role Overview
We are looking for a highly organised and execution-focused Project Coordinator to join the PMC Team for premium luxury real estate projects in Goa, including Amaara Grove Goa and Amaara Vista Goa.
The candidate will be responsible for coordinating between the project team, PMC, architects, consultants, contractors, vendors, site supervisors, procurement team, liaison consultants, and management to ensure smooth project execution, timely deliverables, documentation accuracy, and progress visibility.
This role requires someone who understands construction coordination, site execution, drawing tracking, vendor follow-ups, project reporting, quality checks, and luxury project expectations. Prior experience in real estate, villa projects, resort projects, hospitality construction, or high-end residential development will be strongly preferred.
Key Responsibilities1. Project Coordination & Execution Support
- Coordinate daily project activities between PMC, site team, contractors, consultants, and management.
- Track project progress against approved timelines and milestone schedules.
- Follow up with internal and external stakeholders to ensure timely completion of assigned tasks.
- Support the Project Manager / PMC Head in planning, execution tracking, and issue resolution.
- Ensure all project activities are aligned with approved drawings, specifications, timelines, and quality expectations.
- Coordinate between office and site teams for smooth communication and execution.
2. Consultant & Vendor Coordination Coordinate with various project consultants and vendors, including:
- Architects
- Structural consultants
- MEP consultants
- Landscape consultants
- Interior designers
- Civil contractors
- Electrical contractors
- Plumbing contractors
- HVAC vendors
- Fire and safety vendors
- Soil testing agencies
- Surveyors
- Liaison consultants
- Material suppliers
- Finishing vendors
- Site service agencies
Track their deliverables, follow up for submissions, and escalate delays wherever required. 3. Drawing & Documentation Tracking
- Maintain proper records of architectural, structural, MEP, landscape, interior, and working drawings.
- Track latest drawing versions and ensure only approved drawings are used at site.
- Maintain drawing issue registers, revision trackers, and consultant submission logs.
- Coordinate with consultants for pending drawings, clarifications, and revisions.
- Ensure drawings are shared with relevant contractors and site teams on time.
- Maintain digital and physical documentation as per company process.
4. Site Progress Monitoring
- Conduct regular site visits and coordinate with the site team for work updates.
- Track daily and weekly progress of civil, MEP, landscape, finishing, and infrastructure works.
- Identify delays, bottlenecks, quality concerns, manpower shortages, and material gaps.
- Prepare site observation notes and share action points with responsible teams.
- Support the PMC team in ensuring work is progressing as per schedule and approved specifications.
- Maintain photographic records of site progress.
5. Quality & Deliverance Checks
- Assist in checking whether contractor output matches approved drawings and specifications.
- Coordinate quality inspections with PMC, consultants, and site engineers.
- Track defects, snags, rectification points, and pending works.
- Ensure vendors and contractors close assigned observations within agreed timelines.
- Support mock-up reviews, material sample approvals, and finishing quality checks.
- Escalate repeated quality issues to the Project Manager / PMC Head.
6. Timeline & Milestone Tracking
- Prepare and maintain project trackers for key milestones.
- Track dependencies between design, procurement, approvals, contractor mobilisation, material delivery, and execution.
- Follow up on delayed tasks and ensure timely escalation.
- Prepare weekly look-ahead plans in coordination with PMC and site teams.
- Monitor planned vs actual progress and highlight deviations.
- Support project scheduling using Excel, MS Project, or similar tools.
7. Procurement & Material Coordination
- Coordinate with the procurement team for material requirements, vendor finalisation, purchase orders, and delivery timelines.
- Track material indents, approvals, dispatch, delivery, and site receipt.
- Follow up for critical materials required for civil, MEP, finishing, interiors, and landscape works.
- Maintain coordination between site requirements and procurement timelines.
- Escalate material shortages or delivery delays affecting project progress.
- Assist in maintaining basic material consumption and stock records where required.
8. Approvals & Liaison Support
- Coordinate with liaison consultants and internal teams for project-related documentation.
- Track pending documents required for approvals, NOCs, drawings, certificates, and submissions.
- Maintain approval-related trackers and status updates.
- Support PMC and development teams with documents required for statutory, RERA, utility, fire, environmental, or local authority submissions.
- Ensure approval-related coordination does not delay project progress.
9. Reporting & MIS
- Prepare daily, weekly, and monthly project reports.
- Maintain trackers for:
- Work progress
- Drawing status
- Consultant deliverables
- Vendor deliverables
- Site issues
- Pending decisions
- Material status
- Snag lists
- Approval status
- Cost-impacting issues
- Prepare clear MIS reports for management review.
- Share concise updates with the Project Manager, PMC Head, and Founder’s Office.
- Maintain minutes of meetings and follow up on action points.
10. Meeting Coordination
- Schedule and coordinate project review meetings with PMC, consultants, contractors, and management.
- Prepare meeting agendas and collect relevant updates before meetings.
- Record minutes of meetings with clear responsibility and timelines.
- Follow up on MOM action points until closure.
- Ensure all key stakeholders are aligned on decisions, timelines, and pending issues.
11. Contractor & Site Team Coordination
- Coordinate with contractors for manpower deployment, work sequencing, material requirements, and progress updates.
- Track contractor commitments and pending deliverables.
- Support site teams in resolving coordination gaps between civil, MEP, landscape, and finishing contractors.
- Identify interdependency issues between different contractors.
- Ensure contractors receive timely drawings, decisions, and clarifications.
12. Luxury Project Experience & Customer-Centric Detailing
- Maintain awareness that Amaara Grove and Amaara Vista are luxury projects where finishing, detailing, landscape quality, access experience, and site presentation are critical.
- Support the team in maintaining premium project standards.
- Track details related to:
- Entry experience
- Villa/farmhouse detailing
- Landscape execution
- Amenity areas
- Pathways and internal roads
- Lighting and services
- Site cleanliness
- Visitor readiness
- Assist in preparing the site for client visits, investor visits, management visits, and consultant reviews.
Additional Responsibilities
- Maintain project master files and digital documentation folders.
- Coordinate with design and marketing teams for site visuals, progress photos, and project updates.
- Assist in preparing project progress presentations.
- Support vendor onboarding documentation where required.
- Track risk areas and maintain a project risk/action register.
- Coordinate with accounts/finance for vendor billing status where required.
- Track contractor bills, measurement sheets, and supporting documents in coordination with the site/PMC team.
- Ensure smooth communication between Goa site team and head office.
- Support project handover, snag closure, and documentation at later stages.
Required Candidate Profile The ideal candidate should have:
- 5+ years of experience in project coordination, PMC coordination, construction coordination, real estate development, hospitality projects, villa projects, or luxury residential projects.
- Strong understanding of construction workflows and project execution stages.
- Experience working with architects, consultants, contractors, vendors, and site teams.
- Ability to read and understand basic architectural, civil, structural, and MEP drawings.
- Strong documentation, follow-up, and reporting discipline.
- Good understanding of project timelines, dependencies, and site coordination.
- Robust command over Excel, Word, PowerPoint, and email communication.
- Ability to prepare trackers, MOMs, reports, and project dashboards.
- Strong communication skills in English and Hindi; Konkani/Marathi will be an added advantage.
- High ownership, problem-solving attitude, and ability to work under deadlines.
- Prior Goa project experience will be preferred.

Educational Qualification

- Diploma / Degree in Civil Engineering
- B.E. / B.Tech Civil
- B.Arch or architecture coordination background
- Construction Management qualification
- Project Management certification will be an added advantage
Tools & Software Knowledge Preferred
- MS Excel – mandatory
- MS Word and PowerPoint – mandatory
- AutoCAD viewing/basic understanding – preferred
- MS Project / Primavera – preferred
- Google Workspace – preferred
- Project management tools such as Asana, Trello, Notion, or similar – added advantage

Work Schedule
- Full-time role based in Goa.
- Site visits and project office coordination required.
- 6 days working may be required depending on project stage.
- Weekend availability may be required during urgent project timelines, client visits, management visits, or critical execution phases.
- Travel within Goa and nearby project locations may be required.
Pay: ₹500,000.00 - ₹650,000.00 per year
