About the Role

FLEX Commodities is looking for an Operations Support Associate to join our trading operations team in Dubai.

The role will support the operational execution of marine fuels trading desk, working closely with Traders, Operations, Finance, Accounts, counterparties, suppliers, customers, inspectors and logistics/service providers.

We are looking for someone who is organized, driven by communications, prompt and with the concept of always available.

Key Responsibilities

- Support the operational execution of physical and back-to-back trades from contract execution through delivery and settlement.
- Coordinate shipment and delivery schedules, nominations, documentation, inspections and other operational requirements.
- Assist in monitoring documentation of entire supply chain, its entries into the system, to ensure quantities, specifications, delivery terms and documentation are aligned.
- Coordinate with Traders on deal execution, operational updates, amendments and delivery requirements.
- Liaise with suppliers, customers, terminals, agents, inspectors, surveyors, transporters and other service providers.
- Prepare, collect, verify and maintain trade and shipping documentation, including invoices, BDNs, certificates, bills of lading and other supporting documents as applicable.




- Monitor deliveries and ensure completed transactions and supporting documentation are accurately updated in the company's systems.
- Coordinate with Accounts regarding invoices, payment terms, receivables/payables and transaction settlements.
- Track outstanding documentation, deliveries, invoices and operational actions and follow up for timely closure.
- Assist in identifying discrepancies between purchase and sales terms and escalate issues to the relevant stakeholders.
- Maintain accurate trade records and ensure documentation is properly captured in the company's ERP/document management systems.
- Assist with reconciliation and closure of completed trades.
- Provide timely operational updates to Traders and relevant internal stakeholders.
- Follow internal controls, compliance requirements and established operating procedures.

Requirements

- Bachelor's degree in Business, Supply Chain, Logistics, International Trade or a related discipline.
- Minimum 1 year and maximum 3 years in shipping operations and trading operations.
- Understanding of the trade lifecycle including contracts, documentation, delivery, invoicing and settlement.
- Working knowledge of Incoterms and international trade documentation.
- Exposure to back-to-back commodity transactions would be an advantage.
- Ability to review purchase and sales terms and identify potential mismatches.
- Strong attention to detail and ability to manage multiple transactions simultaneously.
- Commercially aware, proactive and comfortable working in a rapid-paced trading environment.
- Strong written and verbal communication skills.
- Proficiency in MS Office; experience with commodity trading or ERP systems would be an advantage.

Preferred Profile

- Experience in shipping operations, trading , especially oil products would be preferred.
- The ideal candidate will be hands-on, commercially aware and eager to develop into an independent Operator capable of managing transactions end to end.
