ABOUT THE ROLE

We are looking for a proactive, organised and detail-orientated Merchandise Planning & Fulfilment Executive to manage merchandise planning, inventory, replenishment, procurement, order fulfilment and logistics across our sales channels.

The role will involve reviewing orders and inventory, planning production and replenishment requirements, placing orders, coordinating with vendors and internal teams, and ensuring products and materials are available at the right time. The role will also oversee order fulfilment and shipment coordination, ensuring that customer, B2B and marketplace orders are planned and dispatched within the required timelines.

The ideal candidate should be comfortable working with numbers, inventory and trackers, communicate quickly and clearly, and be able to independently follow through on requirements from planning to fulfilment.

KEY OUTCOMES

- Ensure orders are planned and fulfilled on time, with timely coordination across inventory, production, fulfilment and logistics.
- Maintain adequate inventory availability for customer, B2B and marketplace requirements while avoiding unnecessary overstocking.
- Support healthy stock movement and replenishment by monitoring demand, inventory levels and slow-moving products and taking timely action to minimise dead stock.

KEY RESPONSIBILITIES

1. Order & Merchandise Planning

- Review orders received through Shopify, B2B and marketplace channels along with current inventory to determine merchandise requirements.
- Plan MTO, Ready-to-Ship and replenishment requirements based on orders, stock levels and upcoming requirements.
- Determine required quantities, MOQs and order priorities.
- Prepare detailed requirement and order sheets for production and replenishment.
- Track pending requirements, order status and timelines and coordinate with the execution team to ensure timely completion.

2. Inventory Management & Replenishment

- Manage overall finished-goods inventory across Shopify and other sales channels and ensure accurate stock availability.




- Monitor inventory against incoming orders, sales, MTO requirements and replenishment needs.
- Maintain visibility of fabrics, trims, packaging and other material requirements.
- Plan timely replenishment and determine quantities to be ordered based on inventory levels and upcoming requirements.
- Maintain accurate inventory records and ensure regular stock reconciliation.
- Monitor stock movement and identify slow-moving or excess inventory for timely action.

3. Sourcing & Procurement

- Manage sourcing and procurement of fabrics, trims, zippers, packaging and other production materials based on planned requirements.
- Liaise with vendors for dyed, printed and other required fabrics and materials.
- Place orders and coordinate procurement timelines based on planned quantities and requirements.
- Follow up with vendors on material availability, quantities, production status and delivery timelines.
- Identify potential shortages or delays and take the required action to avoid disruption to planned orders and replenishment.

4. Sampling & Product Development

- Coordinate sample development with the design team and relevant vendors.
- Plan fabric, trims and other material requirements for samples.
- Track sample development timelines and movement through the development process.
- Coordinate vendor follow-ups and required modifications or additional material requirements.
- Ensure samples are completed and available as per planned development timelines.

5. Order Fulfilment & Logistics

- Maintain visibility of pending fulfilment requirements across Shopify, B2B and marketplace orders and ensure orders are processed within the required timelines.
- Identify stock, production or execution issues that may affect fulfilment timelines and coordinate the required action.
- Coordinate with the execution team on priority, delayed or stock-dependent orders.
- Book shipments through Shiprocket, Delhivery, DHL or other relevant logistics partners.
- Provide the required order and dispatch details to the execution team and track booked shipments through dispatch and delivery.
- Coordinate on shipment delays, delivery issues,



returns or other logistics-related exceptions where required.

6. Retail Partner Coordination

- Liaise with retail partners regarding orders, inventory availability and replenishment requirements.
- Review retailer requirements and coordinate internally to determine product availability and fulfilment timelines.
- Share relevant product, inventory and order updates with retail partners as required.
- Understand retailer requirements and provide relevant suggestions regarding products, quantities and replenishment opportunities.
- Coordinate internally to ensure retailer requirements are planned and actioned within the required timelines.

7. Documentation & Tracking

- Maintain merchandise, inventory, replenishment, procurement, sampling and order trackers.
- Track pending orders, replenishment requirements, vendor follow-ups, delays and overall order status.
- Maintain fulfilment and inventory records across relevant channels and internal systems.
- Maintain retailer invoices, delivery challans, retailer ledgers and other required documentation.
- Ensure all planning and fulfilment records remain accurate, updated and readily available.

REQUIREMENTS

- 1-3 years of experience in merchandising, merchandise planning, inventory planning, order fulfilment or a related role.
- Strong understanding of merchandise planning, inventory management and replenishment.
- Prior experience in order planning, replenishment and placing purchase/production orders.
- Comfortable working with MTO, Ready-to-Ship, MOQ-based planning and stock requirements.
- Experience in vendor coordination and liaisoning.
- Working knowledge of Shopify order fulfilment and inventory management.
- Experience with shipment booking and logistics platforms such as Shiprocket, Delhivery, DHL or similar is preferred.
- Proficiency in Microsoft Excel / Google Sheets and maintaining trackers.
- Strong organisational and multitasking skills with a planning-oriented approach.
- Quick, proactive and transparent communicator with strong follow-up skills.
- Ability to independently manage multiple requirements, timelines and stakeholders.
- Manufacturing / D2C experience preferred.
