1. Job Summary

Devanika Hospital & Research Center is looking for a responsible and well-organized Hospital Coordinator to coordinate day-to-day activities between patients, doctors, nursing staff, diagnostic services, billing, pharmacy and other hospital departments. The Hospital Coordinator will act as an important link between different departments to ensure smooth patient flow, timely communication, efficient coordination and uninterrupted day-to-day hospital operations.

The ideal candidate should have good communication skills, basic knowledge of hospital operations, strong follow-up abilities and the ability to handle multiple responsibilities in a busy healthcare environment.

1. Key ResponsibilitiesA. Hospital Operations & Coordination

- Coordinate day-to-day activities between different hospital departments.
- Ensure smooth communication between clinical and non-clinical departments.
- Follow up on pending tasks and requirements with concerned departments.
- Assist management in ensuring smooth daily hospital operations.
- Identify operational issues and escalate them to the appropriate authority.
- Conduct regular rounds of assigned areas to identify operational requirements.
- Ensure important instructions from management are communicated to concerned staff.
- Maintain proper coordination during shift changes and handovers.

B. Patient Flow & Coordination
- Assist in coordinating the movement of patients through registration, consultation, investigations, admission, treatment and discharge.
- Coordinate with OPD, IPD, Emergency, Nursing, Diagnostics, Pharmacy and Billing departments.
- Help minimize unnecessary delays in patient movement and services.
- Assist patients and attendants with general hospital-related coordination.
- Follow up on pending investigations, reports, consultations and other non-clinical requirements.
- Escalate delays or operational concerns to the concerned department/supervisor.

C. Doctor & Clinical Coordination
- Coordinate with doctors regarding OPD schedules, rounds, consultations and other administrative requirements.
- Assist in communicating schedules and operational information to concerned teams.
- Coordinate between doctors, nursing staff and administration when required.
- Ensure that non-clinical requirements related to consultations and procedures are communicated and followed up appropriately.
- Maintain professional communication with doctors and clinical staff.

D. Admission & Discharge Coordination
- Assist in coordinating patient admissions and discharges with the concerned departments.
- Coordinate with billing, nursing,



medical records and other departments for completion of required processes.
- Follow up on pending documentation and non-clinical requirements.
- Help ensure that patients and attendants receive appropriate guidance regarding hospital procedures.

- IPD / General Ward
- Emergency
- Operation Theatre
- Nursing Department
- Laboratory / Diagnostics
- Pharmacy
- Billing & Accounts
- Medical Records
- Housekeeping
- Security
- Maintenance
- Patient Relations

1. Administrative Responsibilities

- Maintain daily coordination reports and operational records as required.
- Prepare basic reports, checklists and follow-up sheets.
- Maintain records of pending issues and ensure timely follow-up.
- Assist in preparing daily/weekly operational updates for management.
- Maintain proper documentation of incidents, complaints and operational issues.
- Support hospital administration in implementing policies and procedures.
- Assist in coordinating meetings, inspections and internal communications.

1. Patient & Attendant Support

- Guide patients and attendants regarding hospital processes and departments.
- Handle routine service-related queries professionally.
- Coordinate with the appropriate department for resolution of patient-related concerns.
- Assist in escalating complaints or urgent concerns to the concerned authority.
- Maintain a courteous and patient-friendly approach at all times.
- Ensure that patient confidentiality is maintained.

1. Emergency & Critical Situation Coordination

- Assist in coordinating different departments during emergency situations.
- Ensure timely communication between Emergency, Nursing, Doctors, Diagnostics, OT and other relevant departments.
- Support patient movement and departmental coordination during urgent cases.
- Escalate operational emergencies immediately to the appropriate authority.
- Assist management during hospital emergencies, drills and special situations as required.

1. Quality, Safety & Compliance

- Ensure adherence to hospital policies and standard operating procedures.
- Support implementation of patient-safety and quality-improvement initiatives.
- Maintain confidentiality of patient and hospital information.
- Report operational, safety or service-related issues promptly.
- Assist in maintaining a clean, organized and patient-friendly hospital environment.
- Support internal inspections, audits and quality-related activities when required.

1. Required Qualification

Minimum Qualification:

- Graduate in any discipline.

Preferred:





- Bachelor's degree/diploma in Hospital Administration, Healthcare Management, Business Administration, Nursing Administration or a related field.

1. Experience

Minimum 1 year of relevant experience required. Experience in any of the following will be preferred:

- Hospital Administration
- Hospital Coordination
- Healthcare Operations
- Patient Relations
- Front Office / Guest Relations
- Healthcare Customer Service
- Nursing Home / Hospital Operations

Candidates with strong communication and coordination skills may be considered based on suitability.

1. Working Requirements

- Full-time position.
- Willingness to work in rotational shifts as per hospital requirements.
- May be required to work on weekends and holidays according to the duty roster.
- Must be comfortable working in a rapid-paced hospital environment.
- May be required to coordinate across multiple departments during emergencies or high patient-load periods.

1. Salary

Salary: Negotiable and commensurate with qualification, experience and suitability.

1. Candidate Profile

The ideal candidate should be organized, responsible, proactive and good at coordinating people and tasks. The candidate must be capable of following up with multiple departments, communicating effectively with doctors and staff, assisting patients and attendants, and ensuring that operational issues are addressed promptly. A hands-on approach, strong follow-up skills and the ability to remain calm under pressure are essential for this position.
