The Healthcare Operations Manager will be responsible for the overall operational management of CORE's centres, including people management, patient experience, clinical operations, billing and collections, insurance/TPA coordination, inventory, compliance, MIS and process improvement.
The ideal candidate should be a hands-on healthcare professional who can independently identify operational problems, implement solutions and ensure that the centres function smoothly every day.
Key Responsibilities
1. Centre Operations
- Oversee day-to-day operations of CORE's centres.
- Ensure smooth functioning of OPD, diagnostics, procedures and day-care surgery.
- Coordinate between doctors, optometrists, ophthalmic assistants, nurses, reception and administrative staff.
- Ensure that centres are adequately staffed and operationally ready.
- Identify bottlenecks and implement process improvements.
1. Team & Staff Management
- Prepare and monitor staff rosters and attendance.
- Manage leave, weekly offs and staff deployment.
- Monitor staff performance and productivity.
- Conduct regular team meetings and training.
- Assist in recruitment, onboarding and performance evaluations.
- Address staff-related operational issues and maintain discipline.
1. Patient Experience
- Monitor patient waiting time and patient flow.
- Ensure professional and courteous patient handling.
- Monitor patient complaints and ensure timely resolution.
- Develop and maintain high standards of patient communication and service.
- Track patient feedback, reviews and service-quality indicators.
1. Financial & Billing Operations
- Monitor daily collections and reconciliation.
- Ensure accurate billing and payment collection.
- Monitor outstanding payments.
- Coordinate with accounts for daily/monthly MIS.
- Track centre-wise revenue and operational expenses.
- Identify revenue leakages and opportunities for process improvement.
1. Insurance & TPA Coordination
- Oversee cashless and reimbursement processes.
- Coordinate pre-authorisations and claim documentation.
- Track pending insurance/TPA claims.
- Follow up on queries, deductions and delayed payments.
- Maintain appropriate documentation for insurance audits.
1. OT & Procedure Coordination
- Ensure smooth scheduling and coordination of surgeries and procedures.
- Ensure OT readiness, availability of consumables and required documentation.
- Coordinate with doctors, OT staff, patients and vendors.
- Monitor cancellation and postponement reasons.
- Ensure compliance with clinical and operational SOPs.
1. Inventory & Procurement
- Monitor medical and non-medical inventory.
- Maintain appropriate stock levels and reorder points.
- Monitor IOLs, surgical consumables and other critical supplies.
- Coordinate with vendors and suppliers.
- Monitor expiry, wastage and inventory reconciliation.
- Assist in procurement and cost-control initiatives.
1. Quality & NABH
- Implement and monitor SOPs and operational protocols.
- Maintain required quality and compliance documentation.
- Support NABH-related activities, audits and corrective actions.
- Monitor quality indicators and incident reporting.
- Ensure staff adherence to infection-control and patient-safety protocols.
1. MIS & Reporting
- Prepare daily, weekly and monthly operational reports.
- Monitor key performance indicators for both centres.
- Track OPD, diagnostics, procedures and surgery numbers.
- Monitor patient conversion and follow-up.
- Analyse operational data and present actionable insights to management.
1. Process Improvement & Technology
- Identify repetitive manual processes and opportunities for automation.
- Work with EMR, billing, WhatsApp and other digital systems.
- Improve communication workflows between patients, staff and doctors.
- Help implement technology-driven operational improvements.
Candidate Profile
Essential
- Graduate degree in any discipline.
- 1-2 years of experience in healthcare/hospital/clinic operations.
- Experience managing healthcare staff and day-to-day operations.
- Robust communication and people-management skills.
- Good working knowledge of MS Excel / Google Sheets.
- Ability to analyse operational data and prepare MIS.
- Strong problem-solving and organisational skills.
- Willingness to work across CORE centres.
Preferred
- BHA / BHM / BBA / MBA / MHA / Hospital Administration qualification.
- Experience in an ophthalmology or multispecialty hospital/clinic.
- Experience managing multiple centres.
- Knowledge of NABH processes.
- Experience with insurance/TPA operations.
- Experience with OT/procedure coordination.
- Familiarity with EMR and healthcare technology.
Pay: ₹35,000.00 - ₹50,000.00 per month
Education
- Bachelor's (Preferred)
