About the Role looking for a responsible and result-oriented GeM & Tender Executive to manage end-to-end GeM operations, government tenders, e-procurement activities, bid submissions, documentation, and post-award coordination.
The candidate will be responsible for identifying suitable opportunities, preparing technically and commercially compliant bids, coordinating with internal departments, and ensuring timely submission of all tender-related documents.
Key Responsibilities
1. GeM Portal Management
- Search and identify relevant GeM bids, tenders, and procurement opportunities.
- Monitor GeM regularly for new bids related to furniture, prefab structures, porta cabins, fabrication, school furniture and other company products/services.
- Study GeM bid documents, specifications, eligibility criteria, ATC/STC and BOQ requirements.
- Prepare and submit GeM bids within the prescribed deadline.
- Handle GeM product catalogue creation, modification and product listing.
- Manage OEM / Seller / Brand-related documentation wherever applicable.
- Handle GeM clarification, representation, buyer queries and bid-related correspondence.
- Track bid status, technical evaluation, financial opening, RA and order placement.
2. Government Tender Management
- Search and monitor tenders from GeM, CPPP, State Government portals, PSU portals and other e-procurement platforms.
- Download and thoroughly study NIT, tender documents, BOQ, technical specifications, eligibility criteria and commercial conditions.
- Prepare tender checklists and ensure complete compliance before submission.
- Identify EMD, tender fee, performance security, turnover, experience and other eligibility requirements.
- Coordinate with the management for final approval of tender participation and pricing.
3. Bid Documentation
- Prepare and compile:
- Technical Bid
- Financial Bid / BOQ
- EMD / Bid Security documents
- Make in India declarations
- MSME / Startup declarations
- Local Content declarations
- OEM authorization
- Experience certificates
- Turnover documents
- GST, PAN, Udyam and company documents
- Affidavits, undertakings and compliance statements
- Integrity Pact and other tender-specific documents
- Maintain a systematic database of all company documents required for tenders.
- Ensure all documents are properly signed, stamped and uploaded in the required format.
4. Tender Analysis & Compliance
- Prepare detailed Tender Compliance Sheets against technical specifications.
- Compare company capabilities with tender eligibility requirements.
- Identify deviations, risks and missing documents before bid submission.
- Coordinate with the production/design team for technical specifications, drawings, catalogues, BOM and product details.
- Prepare technical queries and clarification requests wherever required.
5. Commercial & Pricing Coordination
- Coordinate with management/accounts/purchase/production teams for preparation of competitive pricing.
- Prepare comparative statements and costing sheets.
- Verify GST, freight, installation, warranty, transportation and other commercial requirements.
- Ensure BOQ rates and quantities are correctly entered before final submission.
- Maintain records of quoted prices and previous tender rates for future reference.
6. Post-Bid & Order Management
- Track technical evaluation and financial evaluation.
- Monitor tender results, RA participation and L1/L2 status.
- Respond to buyer clarification requests.
- Coordinate documentation after successful award.
- Assist in preparation of Performance Bank Guarantee, contract documents, acceptance letters and invoices.
- Coordinate with dispatch, accounts and project teams for timely execution after receipt of Purchase Order / Work Order.
- Track delivery schedules, inspection, installation, completion certificates and payment documentation.
7. Tender MIS & Reporting
- Maintain daily/weekly tender reports.
- Maintain database of:
- Bids participated
- Bid value
- Submission date
- Tender status
- L1/L2 position
- Orders received
- Pending documents
- EMD/PBG status
- Payment status
- Provide regular tender pipeline reports to management.
Required Skills
- Positive knowledge of GeM Portal and Government e-Procurement
- Strong understanding of tender documents and BOQ
- Excellent MS Excel and MS Word skills
- Good drafting and documentation skills
- Ability to prepare compliance statements and undertakings
- Good knowledge of GST, MSME, Startup, Make in India and local content requirements
- Ability to understand technical specifications and drawings
- Strong attention to detail
- Good communication and coordination skills
- Ability to work under strict tender deadlines
Educational Qualification Minimum: Graduate in any discipline.
Preferred:
- B.Com / BBA / MBA / B.Tech / Diploma
- Certification or practical experience in GeM / Government Tendering will be an advantage.
Experience 2–5 years of relevant experience in:
- GeM tendering
- Government procurement
- PSU tenders
- E-procurement portals
- Tender documentation
- Bid management
Candidates with strong practical GeM experience may be considered even without a specialized qualification. Preferred Candidate Profile The ideal candidate should be:
- Experienced in handling complete tender processes independently.
- Comfortable working with large tender documents and technical specifications.
- Highly organized and deadline-oriented.
- Proficient in Excel and documentation.
- Capable of coordinating with management, accounts, production and technical teams.
- Familiar with PSU / Government procurement procedures.
- Willing to take ownership of tender submissions from opportunity identification to order execution.

Salary ₹20,000 – ₹35,000 per month, depending on experience, GeM knowledge and performance.
Incentive: Performance-based incentives may be provided for successful tender/order acquisition.
Pay: ₹15,000.00 - ₹20,000.00 per month
