Job Title: Front Office Staff – Neuro, Orthopedic Rehabilitation & Multi specialty Hospital

Employment Type: Full-Time

Reports To: Office Manager/Practice Administrator

Job Summary

We are seeking a professional and empathetic Front Office Staff with prior healthcare experience to serve as the first point of contact for patients and families at our neuro and orthopedic rehabilitation center. The role involves managing front desk operations, coordinating patient appointments, and ensuring a welcoming and supportive environment for individuals seeking rehabilitation for conditions such as stroke, spinal cord injuries, joint replacements, and sports injuries. The ideal candidate will combine strong administrative skills with a compassionate demeanor to enhance the patient experience and support operational efficiency.

Key Responsibilities

- Patient Interaction and Support:
- Greet patients and families warmly, addressing inquiries about neuro and orthopedic rehabilitation services with empathy and professionalism.
- Assist patients with check-in/check-out processes, including collecting personal and insurance information while ensuring compliance with healthcare regulations
- Provide information about rehabilitation programs, appointment schedules, and follow-up care, ensuring patients feel supported throughout their journey.
- Appointment and Schedule Management:
- Schedule appointments for physiotherapy, occupational therapy, and other rehabilitation services, coordinating with clinical staff to optimize patient flow.
- Manage appointment reminders, cancellations, and rescheduling, maintaining accurate records in electronic health record (EHR) systems.
- Coordinate with referral sources (e.g., neurologists, orthopedic surgeons) to schedule consultations and follow-up visits.

Administrative Duties:

- Handle phone calls, emails, and in-person inquiries, directing them to appropriate staff members or departments.
- Process patient billing,



verify insurance coverage, and collect payments or co-pays accurately.
- Maintain organized patient records, ensuring data accuracy and confidentiality in compliance with healthcare regulations.

Facility and Team Support:

- Ensure the front office area is clean, organized, and welcoming, reflecting the center’s commitment to patient care.
- Collaborate with clinical and administrative teams to streamline operations, such as preparing patient charts or coordinating multidisciplinary care plans.
- Assist in organizing patient-focused events, such as recovery workshops or community health talks, to promote rehabilitation services.
- Customer Service and Community Engagement:
- Address patient concerns or complaints promptly and professionally, escalating complex issues to the Office Manager when necessary.
- Support outreach efforts by providing information about services to prospective patients or referral partners, such as local physicians or case managers.
- Promote women’s health initiatives, such as postpartum recovery or menopause-related rehabilitation programs, when interacting with relevant patient groups.

Qualifications:

- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field preferred.
- Experience:
- Minimum of 1-2 years of front office or administrative experience in a healthcare setting (e.g., hospital, clinic, or rehabilitation center).
- Prior experience in neuro or orthopedic rehabilitation settings is highly desirable.

Skills and Competencies:





- Exceptional interpersonal and communication skills, with the ability to interact compassionately with patients, families, and healthcare professionals.
- Robust organizational and multitasking abilities, with attention to detail in managing schedules and records.
- Familiarity with healthcare regulations, including HIPAA, and patient confidentiality protocols.
- Proficiency in EHR systems, appointment scheduling software, and Microsoft Office Suite (e.g., Word, Excel, Outlook).
- Knowledge of neuro and orthopedic conditions (e.g., stroke, traumatic brain injury, joint replacements) and rehabilitation processes is a plus.
- Ability to remain calm under pressure and handle sensitive situations with empathy and professionalism.
- Technical Skills: Experience with billing software, CRM systems, or basic office equipment (e.g., printers, scanners) is an advantage.

Preferred Qualifications:

- Familiarity with medical terminology related to neuro and orthopedic rehabilitation.
- Certification in healthcare administration or customer service (e.g., Certified Medical Office Manager) is a plus.

Work Environment:

- This role is primarily based in the front office of the rehabilitation center, with regular interaction with patients, families, and clinical staff.
- May involve occasional evening or weekend shifts to accommodate patient schedules or community events.
- Collaborative and patient-centered environment, requiring teamwork with clinical and administrative staff.
