Role Summary The Office Administrator will be the backbone in managing offices, factory and front desk. This role demands a proactive individual with robust exposure in a corporate ecosystem who can independently anchor maintain workplace upkeep and ensure smooth administrative operations.
Key Responsibilities
· Maintain office inventories, pantry supplies, corporate stationery, and operational consumables by proactively tracking stock levels and ensuring timely procurement.
· Ensure the upkeep, cleanliness, safety, and hygiene of office premises, meeting rooms, common areas, employee facilities, and factory administrative spaces.
· Coordinate with building management, facility vendors, housekeeping, security personnel, maintenance teams, and utility service providers to ensure smooth day-to-day operations.
· Manage petty cash, maintain accurate expense records, process reimbursements, and ensure proper documentation and approvals for administrative expenditures.
· Support facility setup activities, including office infrastructure, seating arrangements, utilities, access control, signage, and employee amenities.
· Coordinate vendor onboarding, purchase requests, service agreements,
and periodic vendor performance reviews.
· Monitor and manage office assets, furniture, equipment, and maintenance schedules to ensure operational readiness.
· Assist in travel, accommodation, transportation, courier, and logistics arrangements for employees, administrative support for company events.
· Maintain records related to facility management, asset registers, vendor contracts, utility bills, and statutory documentation.
· Ensure availability and maintenance of first-aid supplies, safety signages, visitor management systems, and employee access records.
· Track utility consumption (electricity, water, internet, telecom) and coordinate timely payments and service continuity.
· Support EHS (Environment, Health & Safety) initiatives by ensuring compliance with workplace safety requirements, emergency preparedness, and facility-related regulatory guidelines.
· Liaise with HR, Operations, Finance, and other departments to provide administrative support and ensure efficient workplace operations.
Required Qualifications & Skills
· 3 to 4 years of proven experience in office administration or facility management within a corporate environment.
· Strong communication capabilities
· Prefer someone who is based closer to our office
· Strong multitasking skills, exceptional time management, and a proactive problem-solving mindset.
