Position Title: Facility Manager

Department: Admin / Facility Management

4.1 Purpose of the Role

▪ To take full operational responsibility for the day-to-day functioning, maintenance, safety and readiness of the company’s buildings. The role is responsible for facility operations, ensuring that building systems, infrastructure, housekeeping, security, vendors and site manpower function reliably and that issues are identified and resolved before they affect occupants, clients or business operations.

▪ The role is expected to run the buildings on the ground, maintain defined standards, verify work and attendance, coordinate vendors and site manpower, and escalate only matters that require management intervention.

4.2 Key Responsibilities

A. Facility Operations and Site Management

▪ Take day-to-day operational responsibility for Company buildings and ensure they remain functional, protected, clean and ready for use.

▪ Conduct regular site inspections and identify maintenance, safety, cleanliness, infrastructure and operational issues.

▪ Maintain daily operational checklists and ensure all critical facility activities are completed on time.

▪ Ensure building operations continue without unnecessary disruption to employees, clients, visitors or other occupants.

▪ Maintain proper records of facility activities, incidents, complaints, maintenance and corrective actions.

B. Technical Operations and Building Maintenance

▪ Oversee the operation and maintenance of electrical, HVAC, plumbing, DG, fire and other building systems.

▪ Monitor the condition and performance of critical equipment and ensure preventive maintenance is carried out as scheduled.

▪ Coordinate breakdown response and ensure technical issues are attended to within defined timelines.

▪ Review technical requirements raised by site teams and determine the appropriate maintenance or corrective action.

▪ Supervise technical vendors, electricians, technicians and service agencies working at the buildings.

▪ Ensure all technical work is carried out safely, properly and as per agreed scope and standards.

▪ Maintain equipment records, maintenance history, AMC details and service reports for critical systems.

C. Preventive Maintenance and AMC Management

▪ Prepare and maintain preventive maintenance schedules for all major building systems and equipment.

▪ Ensure AMC services are carried out within the agreed schedule and scope.

▪ Track pending maintenance, repeat breakdowns and unresolved technical issues until closure.

▪ Verify vendor service reports and work completion before recommending closure of maintenance activities.

▪ Identify recurring failures and recommend corrective measures rather than repeatedly addressing the same breakdown.

▪ Escalate major repair, replacement and capital expenditure requirements to Reporting Manager with the required technical details.

D. Housekeeping, Cleanliness and Non-Technical Operations

▪ Supervise housekeeping operations across both buildings and ensure defined cleanliness standards are maintained.

▪ Monitor common areas, workspaces, washrooms, pantry areas,



entrances and other facility areas on a regular basis.

▪ Coordinate with the Admin Team on cleanliness standards and implement corrective actions based on audit findings.

▪ Ensure adequate availability of housekeeping manpower, materials, consumables and equipment.

▪ Monitor waste management, pest control and other routine facility services.

▪ Address recurring cleanliness or service-quality issues with the concerned vendor or manpower agency.

E. Security and Safety Management

▪ Oversee security operations and ensure appropriate guard deployment across day and night shifts.

▪ Ensure security personnel follow defined deployment, access control and visitor management procedures.

▪ Monitor CCTV, access control and other security systems and report faults immediately.

▪ Conduct regular safety inspections and identify unsafe conditions or practices.

▪ Ensure fire safety systems, emergency equipment, evacuation routes and safety signage remain operational and accessible.

▪ Coordinate fire drills, emergency preparedness activities and other safety-related requirements as directed.

▪ Immediately report serious safety, security or emergency incidents to the Admin & Procurement Manager.

F. Manpower and Site Supervision

▪ Directly supervise facility-related site manpower, including housekeeping, security, technicians and other deployed personnel.

▪ Prepare and monitor manpower deployment and shift schedules to ensure adequate site coverage.

▪ Verify daily attendance, leave and deployment of facility and agency manpower.

▪ Ensure manpower follows defined duties, timings, site discipline and service standards.

▪ Identify absenteeism, manpower shortages and performance issues and coordinate corrective action with the concerned agency or management.

▪ Train and guide site teams on operational procedures, safety requirements and expected service standards.

G. Vendor and Service Coordination

▪ Coordinate with facility vendors, maintenance agencies, housekeeping agencies, security agencies and other service providers at site.

▪ Ensure vendors report as per schedule and deliver services according to agreed scope and standards.

▪ Verify work completion, service quality and site attendance before submitting records for further processing.

▪ Maintain records of vendor visits, complaints, work orders, service reports and pending issues.

▪ Escalate repeated vendor failures, delays or service-quality concerns to the Admin & Procurement Manager.

▪ Support procurement by providing technical and operational inputs for facility-related purchases, AMCs and service contracts.

H. Utilities, Consumption and Cost Control

▪ Monitor electricity, water, diesel and other major facility consumption across both buildings.





▪ Track abnormal consumption and investigate possible causes such as equipment inefficiency, leakage, wastage or operational issues.

▪ Ensure equipment and utilities are operated efficiently without compromising safety or occupant comfort.

▪ Maintain regular meter readings and consumption records for review.

▪ Identify practical opportunities to reduce energy, water, maintenance and other operating costs.

▪ Coordinate with vendors and technical teams to implement approved efficiency measures.

I. Complaints, Breakdowns and Escalation Management

▪ Act as the first operational point of contact for facility-related complaints and issues raised by clients, employees or occupants.

▪ Assess complaints, assign them to the appropriate team or vendor and track them through to closure.

▪ Prioritise issues based on safety, business impact and urgency.

▪ Ensure critical breakdowns are attended to immediately and temporary arrangements are made where required.

▪ Maintain an open-issue tracker covering complaints, breakdowns, maintenance and corrective actions.

▪ Escalate unresolved or high-impact issues to the Senior Manager within the agreed timeframe.

J. Compliance and Documentation

▪ Ensure facility-related statutory, safety and operational requirements are maintained at site as directed by management.

▪ Maintain records of equipment inspections, maintenance, AMC services, safety checks, incidents and vendor activities.

▪ Ensure required certificates, inspection reports and service records are available and properly filed.

▪ Support the Admin Manager during inspections, audits and interactions with external agencies relating to facility operations.

▪ Ensure no critical compliance or safety-related requirement is allowed to lapse without escalation.

K. Reporting and Performance Monitoring

▪ Prepare regular facility reports covering maintenance, breakdowns, complaints, manpower, housekeeping, security, safety and consumption.

▪ Report recurring problems and operational risks rather than only reporting completed activities.

▪ Maintain facility performance records, including response times, pending issues, breakdown frequency, cleanliness scores and maintenance status.

▪ Provide the Admin Manager with accurate site data for monthly management review.

▪ Highlight any requirement that may affect building operations, safety, client experience or business continuity.

L. Building Readiness and Continuous Improvement

▪ Ensure buildings are operationally ready for employees, clients, visitors and business activities at all times.

▪ Coordinate facility readiness for meetings, events, new occupants, client requirements and other operational activities.

▪ Identify gaps in existing processes, infrastructure and service standards and recommend practical improvements.

▪ Implement approved improvements and monitor whether they deliver the expected result.

▪ Build a facility operation system that is structured, documented and not dependent on individual staff members.

Pay: ₹35,000.00 - ₹45,000.00 per month
