Event Specialist

Role Overview

We are looking for an Event Specialist to own end-to-end on-ground event operations for large-scale, multi-day exhibitions and events. The role requires strong execution, stakeholder management, vendor coordination, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

- Own end-to-end on-ground event operations, including site setup, live event execution, and teardown.
- Coordinate with event organisers, venue teams, exhibitors, vendors, security, and internal stakeholders to ensure seamless execution.
- Plan and manage on-site logistics, including material movement, booth readiness, power and infrastructure, signage, access, and crowd flow.
- Develop and manage detailed run-of-show timelines, shift plans, operational checklists,



and contingency protocols.
- Lead vendors and contractors on the ground, including briefings, quality checks, work allocation, and real-time issue resolution.
- Manage VIP, media, and high-priority visitor movements while ensuring event protocols are followed with minimal disruption to operations.
- Monitor live operations, identify bottlenecks, and drive quick resolution of issues under tight timelines.
- Maintain clear escalation and communication channels across stakeholders throughout the event.
- Track live issues, key decisions, action items, and dependencies to ensure proper closure.
- Lead post-event teardown, handover, documentation, and operational close-out.
- Ensure all event activities are executed safely, efficiently, and within agreed timelines.

Required Skills & Qualifications

- 2–5 years of experience in event operations, exhibition management, experiential marketing, event production, or a similar role.
- Hands-on experience managing large-scale exhibitions, conferences, trade shows, or corporate events.
- Strong vendor, contractor, and stakeholder management skills.
- Excellent organisational and coordination abilities with solid attention to detail.
- Ability to work effectively under pressure and manage multiple priorities during live events.
- Strong problem-solving and decision-making skills in fast-paced, on-ground environments.
- Excellent communication and interpersonal skills.
- Willingness to work flexible hours, including weekends and extended shifts during events.
- Proficiency in MS Office/Google Workspace; experience with event planning or project management tools is an advantage.
