Chief of Staff to Founder

Department: Founder’s Office / Executive Office

Reporting To: Founder / CEO / Director

About the Role

We are looking for a highly organized, proactive and dependable Chief of Staff to the Founder to work closely with the Founder/CEO and support the effective execution of key business priorities.

The individual will act as a trusted point of coordination between the Founder and various departments, ensuring that important discussions, decisions, assignments and projects are followed through to completion.

This is a high-responsibility role requiring strong communication, follow-up, coordination, confidentiality, problem-solving and organizational skills.

Key Responsibilities

1. Executive Support & Coordination

- Work closely with the Founder/CEO on day-to-day business priorities and important assignments.
- Manage and prioritize tasks, meetings, follow-ups and action items on behalf of the Founder.
- Prepare meeting agendas, discussion points, reports and required documents.
- Maintain a clear record of pending tasks, commitments and deadlines.
- Ensure that important matters are followed up until closure.

2. Cross-Functional Coordination

- Coordinate with HR, Accounts, Technology, Sales, Operations and other departments as required.
- Communicate the Founder’s instructions to relevant team members and ensure timely execution.
- Follow up with department heads and team members on assigned deliverables.
- Identify delays, gaps or issues and escalate them to the Founder with the relevant information.
- Ensure smooth communication between the Founder’s Office and internal teams.

3. Project & Task Management

- Take ownership of special projects and assignments given by the Founder.
- Create action plans,



timelines and follow-up trackers for important initiatives.
- Monitor progress and provide regular updates to the Founder.
- Coordinate with multiple stakeholders to ensure projects move forward as planned.
- Ensure that agreed actions are completed within the required timelines.

4. Meetings & Follow-Ups

- Attend important internal and external meetings with the Founder when required.
- Prepare meeting notes and maintain action-item trackers.
- Follow up with concerned individuals after meetings.
- Ensure that decisions taken during meetings are communicated and implemented appropriately.

5. Research & Business Support

- Conduct research on business-related topics, competitors, markets, vendors, clients or other areas as assigned.
- Prepare summaries, presentations, reports and briefing notes for the Founder.
- Collect and organize information required for business decisions.
- Assist the Founder in evaluating proposals, opportunities and operational matters.

6. Executive Communication

- Draft and review emails, letters, notices, reports and official communications on behalf of the Founder when required.
- Maintain professional communication with senior employees, clients, vendors and external stakeholders.
- Act as a communication bridge between the Founder and relevant stakeholders.
- Handle sensitive and confidential information with complete discretion.

7. Executive Office Administration

- Coordinate the Founder’s meetings, appointments and business commitments.
- Assist with travel planning,



schedules and meeting arrangements when required.
- Maintain important documents, records and executive reports.
- Ensure that the Founder has all required information and documents before important meetings or discussions.

Required Skills

- Excellent verbal and written communication skills.

- Excellent time-management and multitasking abilities.
- Strong problem-solving and decision-making ability.
- Ability to communicate confidently with senior management and department heads.
- Strong attention to detail.
- Ability to handle confidential and sensitive information.
- Strong MS Office / Google Workspace skills.
- Good knowledge of Excel, PowerPoint and professional email communication.
- Ability to prepare reports, presentations and business summaries.
- Ability to work independently with minimal supervision.
- High level of ownership, accountability and professionalism.

Preferred Candidate Profile

- 3–7 years of experience in Chief of Staff, Executive Assistant, Executive Secretary, Business Operations, Project Management, Management Consulting or a similar role.
- Experience working directly with a Founder, CEO, Director or senior management will be preferred.
- Candidates with strong exposure to cross-functional coordination and project execution will be preferred.
- Should be comfortable working in a fast-paced business environment.
- Should be highly proactive and capable of anticipating requirements rather than waiting for instructions.
- Should demonstrate maturity, discretion and professional conduct.
