Key Responsibilities

- Receive customer RFQs and review the enquiry package for completeness, scope, drawings, specifications, quantities, delivery expectations and commercial requirements.
- Prepare the enquiry checklist and obtain internal clearance to proceed with the RFQ.
- Acknowledge RFQ receipt to the customer and establish the expected quotation timeline.
- Share the data pack with relevant internal teams and update RFQ details in Tracker
- Prepare an input plan for Engineering, Sourcing, Maintenance, Tooling, Calibration and commit a quotation date to the customer.
- Coordinate with the customer and internal teams to obtain missing information, resolve ambiguities and document agreed assumptions.




- Coordinate with Maintenance, Tooling and Calibration teams to identify requirements and costs for new equipment, tools, fixtures, gauges and calibration.
- Prepare and maintain structured costing templates for material, bought-out items, conversion, labour, machine, tooling, testing, quality, packing, logistics, EXIM, overheads, contingency and margin.
- Collect and validate inputs from Sourcing, Engineering and other internal stake holders
- Get the costing done with the allocated team on a timely basis.
- Review the cost proposal with the Head of Business Development and Management.
- Incorporate review inputs, rework the proposal when required and obtain internal approval.
- Prepare the customer quotation with explicit scope, price, delivery, validity, payment terms, assumptions, exclusions, non-recurring costs and other applicable commercial terms.
- Maintain and update the standard quotation format and supporting records.
- Act as the Business Development single point of contact for allocated customers throughout the RFQ lifecycle.
- Coordinate customer engineering and sourcing queries and arrange calls on critical-to-success topics to remove roadblocks.
- Drive timely follow-up to improve RFQ conversion and secure the business award.
- On receipt of a sample or development order, provide necessary cost details to SCM for raw material procurement.
- Initiate budget release in Touch Base Software in line with internal approvals.
- Plan for a kick off meeting in co ordination with project manager.
- Maintain departmental reports, RFQ trackers, management review records, costing files, quotations, approvals and customer communication records.
- Maintain Business Development quality system documentation and ensure document traceability and revision control.
- Provide accurate status updates on RFQ progress, risks, pending actions, submitted quotations and business conversion.
