Position Summary

The Sourcing Associate supports US recruiting and sourcing teams by mining candidate databases, identifying qualified talent, and building organized talent pools of viable, interested candidates. The role uses the applicant tracking system, candidate relationship management platform, Job Recommender System, and other approved sourcing tools to identify candidates, maintain accurate records, and prepare curated candidate slates that enable recruiters and sourcers to focus voice outreach on warm, filtered leads.

The Sourcing Associate is responsible for completing assigned database-mining activities, organizing candidates into appropriate pools and CRM folders, sending approved candidate communications, and providing timely, accurate candidate lists to recruiting partners. Success requires motivation, attention to detail, curiosity, strong organization, effective communication, and an interest in building a career in Talent Acquisition.

Responsibilities

Candidate Identification & Database Mining

- Mine the applicant tracking system and candidate relationship management database using the Job Recommender System and other approved sourcing tools.
- Identify potentially qualified candidates based on defined role requirements, available profile data, prior applicant activity, and sourcing criteria.
- Add new candidates to the database and maintain accurate, complete, and timely candidate records.

Talent Pool & Candidate Slate Management

- Organize qualified candidates and maintain talent pools aligned to priority roles, divisions, and hiring needs.
- Build slates of passive sourced candidates in designated CRM folders and provide candidate lists to recruiters and sourcers.
- Review assigned candidate lists for relevance, duplication, completeness, and readiness before handoff.

Candidate Engagement & Warm-Lead Preparation

- Send approved communications to qualified candidates to gauge interest and connect responsive candidates with recruiters.




- Filter and prepare warm leads so US recruiters and sourcers can prioritize high-value voice outreach.
- Track candidate responses and update candidate status, notes, and disposition information in the appropriate systems.

Operational Execution & Collaboration

- Complete assigned sourcing activities accurately and within established productivity, quality, and turnaround expectations.
- Collaborate with the Assistant Manager, recruiters, sourcers, and recruitment technology partners to clarify priorities and resolve data or workflow issues.
- Participate in team meetings, coaching, training, and process-improvement activities.
- Respond to routine requests and escalate candidate, system, quality, or delivery concerns appropriately.
- Protect confidential candidate, employee, and business information and follow approved recruitment processes and documentation standards.

Education & Experience:
- Bachelor's degree required.
- Zero to one year of experience in Talent Acquisition, sourcing, recruiting operations, recruitment technology, customer service, data administration, or a related field.
- Internship, academic, project, or entry-level experience involving research, database work, candidate engagement, or administrative support may be considered.

Must Have Skills

- Basic proficiency with applicant tracking systems and candidate relationship management platforms, or the ability to learn these systems quickly.
- Ability to use or learn the Job Recommender System and Talemetry or comparable candidate-matching and recruitment technology tools.




- Working knowledge of Microsoft Office applications, including Excel, PowerPoint, Outlook, and Word.
- Ability to use Power BI reports and vendor-specific sourcing platforms, such as Indeed, with training and guidance.
- Strong attention to detail and ability to maintain accurate candidate data and organized talent pools.
- Ability to review candidate profiles, follow defined qualification criteria, and prepare relevant candidate lists.
- Clear written and verbal communication skills for interacting with candidates, recruiters, sourcers, and team members.
- Robust organization, time management, follow-through, and ability to manage recurring tasks and changing priorities.

Nice to Have Skills

- Prior internship or entry-level experience in Talent Acquisition, recruiting, sourcing, human resources, customer service, research, or data administration.
- Exposure to recruitment technology, recruitment marketing, or candidate engagement platforms.
- Experience using ATS, CRM, Talemetry, Power BI, Indeed, or similar systems and tools.
