Position Summary:

The Assistant Manager, Recruiting Specialists provides frontline people leadership and daily operational oversight for a team of Recruiting Operations Associates who support critical administrative and operational activities across the recruitment function. Reporting to the Manager, Recruiting Specialists, this role is responsible for assigning work, managing team capacity, monitoring quality and service delivery, coaching team members, and ensuring consistent execution of established Talent Acquisition processes.

The Assistant Manager oversees day-to-day support across requisition and posting activities, candidate screening assistance, offer preparation, administrative coordination, reporting, audits, and process-quality activities. The role works closely with recruiters, Recruiting Operations & Technology leaders, and US and GCN stakeholders to resolve issues, maintain accurate documentation, and deliver timely, compliant, and scalable recruiting support.

Success requires strong people leadership, process discipline, sound judgment, effective stakeholder communication, and the ability to maintain accountability and service quality in a fast-paced, high-demand environment.

Responsibilities:

Team Leadership & Daily Operations

- Provide daily direction and frontline leadership to Recruiting Operations Associates, including work assignment, prioritization, coaching, and performance feedback.
- Monitor team capacity, productivity, quality, and service levels; rebalance work and escalate material risks or resource needs to the Manager.
- Establish clear expectations, reinforce accountability, recognize strong performance, and address performance gaps promptly and consistently.
- Maintain effective operating rhythms, team communications, and task tracking to support timely completion of recruiting activities.

Requisition & Posting Support

- Oversee recruiter support for requisition setup, preparation, and routing to ensure required information is complete and ready for posting.
- Ensure job descriptions are refined for clarity, formatting, alignment to approved templates, and readiness for internal or external posting.
- Review posting activities and quality checks to help ensure accurate titles, locations, work models, role requirements, and screening criteria.

Candidate Screening & Recruiter Support

- Ensure prescreening questions and related screening criteria are configured in alignment with recruiter guidance and hiring requirements.




- Oversee candidate-information review and preparation of shortlists of potentially qualified candidates for recruiter review.
- Reinforce accurate candidate, requisition, and workflow documentation in applicant tracking systems and shared trackers.

Offer Preparation & Administrative Coordination

- Oversee preparation of offer materials and supporting documentation in accordance with established Talent Acquisition processes.
- Ensure years-of-experience calculations and related candidate-data checks are completed accurately and consistently to support offer preparation and compensation review.
- Track assigned administrative activities, follow up on missing information, and resolve or escalate issues that could delay posting, candidate movement, or offer preparation.

Process Quality, Compliance & Continuous Improvement

- Drive adherence to standard operating procedures, governing guidelines, documentation requirements, and confidentiality expectations.
- Conduct or support recurring reporting, audits, process checks, and operational clean-up activities; address identified quality or data issues.
- Partner with recruiters and Recruiting Operations & Technology team members to improve process consistency, cycle time, quality, and service experience.
- Identify workflow gaps, recurring issues, and improvement opportunities, and recommend practical solutions to the Manager.

Stakeholder Partnership & Issue Resolution

- Maintain effective working relationships with US and GCN stakeholders and provide timely updates on priorities, risks, and service outcomes.
- Resolve day-to-day operational issues within the team and escalate matters requiring broader leadership support or business decisions.

Education & Experience:

- Bachelor's degree required.
- Minimum of 7-10 years of progressive experience in Talent Acquisition, recruiting operations, or a closely related field.
- Demonstrated experience supervising or leading a Talent Acquisition or recruiting operations team, including responsibility for day-to-day work, team performance, and service delivery.
- Experience managing high-volume,



process-driven work in a fast-paced setting with multiple stakeholders and competing priorities.
- Experience supporting requisition administration, candidate screening, offer preparation, recruiting coordination, or related operational services.

Must Have Skills

- Strong people leadership, coaching, and performance-management capabilities.
- Proficiency with Microsoft Office, Outlook, and applicant tracking systems.
- Excellent written and verbal communication skills, with the ability to provide clear direction and communicate effectively with stakeholders and leadership.
- Ability to lead in a fast-paced, high-demand environment while balancing competing priorities and shifting team resources as business needs change.
- Strong process orientation and ability to reinforce standardized workflows, governing guidelines, quality standards, and documentation requirements.
- Strong operational judgment, problem-solving, issue-resolution, and escalation skills.
- Ability to monitor service delivery, team performance, data accuracy, and work quality and take timely corrective action.
- Ability to build productive partnerships across US and GCN teams.

Nice to Have Skills

- Experience guiding and leading a Talent Acquisition or recruiting operations team.
- Experience with process improvement, workflow standardization, reporting, audits, or recruiting technology initiatives.
- Experience working in a shared-services, centralized, or distributed recruiting support model.
