Position Details

Job Title: IT/Admin – Sr. Executive/Assistant Manager

Department: IT / Administration

Reporting To: Director

Location: Gurgaon

Employment Type: Full-Time

1. Job Purpose The IT/Admin – Sr. Executive will be responsible for managing and coordinating the organization's day-to-day IT operations, office administration, facilities, IT assets, vendor coordination, website support, CCTV and network systems, creative requirements, branding support, and social media activities.

The role requires strong ownership, coordination and execution skills to ensure smooth office operations, timely resolution of IT and administrative requirements, effective vendor management, and consistent support to the company's branding and digital communication activities.

2. Key Responsibilities

A. IT Management & Technical Support

- Ensure smooth functioning of computers, laptops, printers, software and other IT equipment.
- Provide day-to-day technical support to employees.
- Troubleshoot hardware, software, network and system-related issues.
- Maintain an IT support/complaint tracker and ensure timely resolution.
- Resolve technical issues independently wherever possible and coordinate with external vendors when required.
- Monitor IT systems to minimize downtime and operational disruption.
- Coordinate installation, repair, maintenance and replacement of IT equipment.
- Maintain proper records of technical issues and their resolutions.

B. IT Asset & Security Management

- Maintain and regularly update the IT asset register.
- Track laptops, desktops, printers, software licenses, networking equipment and other IT assets.
- Maintain employee-wise asset allocation records.
- Coordinate IT asset issuance and return during employee onboarding and exit.
- Monitor software licenses and renewal requirements.
- Ensure regular data backup processes are followed.
- Support implementation of basic IT security and access-control practices.
- Maintain proper documentation of IT assets and related records.

C. Network, CCTV & Website Management

- Monitor office internet, Wi-Fi and network connectivity.
- Coordinate with service providers for network-related issues.
- Monitor CCTV systems, recording and storage.
- Coordinate CCTV repair and maintenance when required.
- Monitor the company's website and Admin Panel.
- Identify website-related technical issues and coordinate with developers/vendors for resolution.
- Maintain proper records of website-related access and support requirements.

D. Administration & Facility Management

- Manage day-to-day office administration and facility requirements.
- Coordinate housekeeping, cleanliness, utilities, maintenance and office infrastructure.
- Monitor office stationery and general supplies.
- Coordinate procurement of office supplies, equipment and other administrative requirements.
- Maintain administrative documents, agreements, bills and office records.
- Coordinate office repair and maintenance activities.
- Support employee onboarding and exit formalities from an IT/Admin perspective.
- Assist in meeting arrangements, travel coordination,



office events and other administrative activities.
- Ensure routine office requirements are handled efficiently and within defined timelines.

E. Vendor & Procurement Management

- Maintain an updated database of IT, Admin, maintenance and other service vendors.
- Coordinate with vendors for repairs, AMC, maintenance and technical support.
- Track AMC, service contracts and renewal dates.
- Obtain quotations and coordinate procurement as required.
- Follow up with vendors for pending services and repairs.
- Monitor vendor performance and service quality.
- Maintain quotations, invoices, agreements and related documentation.

F. Creative Design & Branding

- Create marketing creatives, posters, banners, brochures, flyers and digital communication materials.
- Develop creatives for social media platforms and marketing campaigns.
- Create/review reels, stories, digital posts and promotional materials.
- Support the marketing team with design requirements.
- Prepare deal-close mailers and other business communication creatives.
- Ensure consistency with approved brand guidelines and visual identity.
- Maintain an organized library of creative files and digital assets.
- Deliver creative requirements within agreed timelines.

G. Social Media Management

- Plan and maintain the monthly social media content calendar.
- Manage regular content posting across approved platforms such as LinkedIn, Instagram and Facebook.
- Coordinate and create posts, reels, stories and other digital content.
- Monitor comments, messages and online engagement.
- Support social media campaigns for brand awareness, engagement and lead generation.
- Track social media performance and engagement metrics.
- Prepare monthly social media performance reports.
- Coordinate with internal teams for content requirements and approvals.

H. Reporting & Documentation

- Maintain daily and weekly task trackers.
- Submit weekly reports covering IT, Admin, Creative and Social Media activities.
- Prepare monthly performance and activity reports.
- Maintain proper records of IT assets, vendors, AMC, repairs, procurement and administrative activities.
- Track pending tasks and ensure timely closure.
- Escalate critical issues to the reporting manager in a timely manner.
- Maintain clear communication with management and cross-functional teams.

3. Coordination & Stakeholder Management The employee will work closely with:

- Management
- HR & Admin
- Accounts/Finance
- Marketing & Business Development
- Employees across departments
- IT service providers
- Maintenance and facility vendors
- Website/development agencies
- Other external service providers





The role requires effective coordination to ensure that operational requirements are completed without unnecessary delays. 4. Key Performance Expectations The employee will be expected to:

- Resolve IT issues within defined timelines.
- Maintain accurate IT asset and administrative records.
- Ensure minimum avoidable IT downtime.
- Maintain proper backup and basic security processes.
- Ensure timely vendor follow-up and service coordination.
- Maintain smooth day-to-day office administration.
- Deliver creative requirements within agreed timelines.
- Execute the approved social media calendar consistently.
- Maintain proper reporting and documentation.
- Demonstrate ownership of assigned responsibilities.
- Identify and implement opportunities for process improvement.
- Escalate critical or unresolved matters promptly.

5. Required Skills & Competencies

Technical Skills

- Basic knowledge of computer hardware and software.
- Understanding of networks, printers and IT systems.
- Knowledge of CCTV and basic troubleshooting.
- Familiarity with website/Admin Panel management.
- Knowledge of MS Office/Google Workspace and other productivity tools.
- Familiarity with graphic/design tools.
- Understanding of social media platforms and digital content management.

6. Qualification & Experience Education: Graduate in any relevant discipline. A qualification in IT, Computer Applications, Administration, Management or a related field will be preferred.

Experience: 5+ years of relevant experience in IT support, administration, office operations or a similar multi-functional role.

Candidates with combined experience in IT support + Administration + Creative/Digital/Social Media coordination will be preferred.

Overall Responsibility The IT/Admin – Sr. Executive is expected to act as a single point of coordination for day-to-day IT and administrative requirements, while also supporting the organization's creative, branding and social media activities, ensuring that assigned responsibilities are completed with proper planning, documentation, accountability and timely execution. Pay: From ₹25,000.00 per month
