Role Summary
We are looking for a dependable, organised Admin Manager to run the day-to-day administration of our office and act as the first point of contact for HR and compliance. You will keep the office running smoothly, keep our people records and statutory compliance in order, and support the founder with the operational side of the business.
Key Responsibilities
Office Administration
- Maintain the office (housekeeping, pantry, maintenance, repairs) and keep it clean and well stocked.
- Manage office supplies, stationery, equipment and asset registers.
- Manage relationships with vendors and service providers (housekeeping, courier, IT support, repairs, etc.) and obtain quotes.
- Handle travel bookings, courier and dispatch, and visitor management as needed.
Rent, Utilities & Payments
- Ensure timely payment of office rent, electricity, internet, telephone, water and other recurring bills.
- Maintain a payment calendar and track due dates to avoid delays or penalties.
- Prepare payment requests, keep invoices and receipts, and coordinate with accounts and the CA on bookkeeping.
- Track lease and rental agreements and their renewal dates.
HR Operations
- Coordinate hiring: draft JDs, post jobs, screen resumes,
schedule interviews and follow up with candidates.
- Prepare offer letters, appointment letters and joining formalities, and run new-joiner onboarding.
- Draft, update and communicate HR policies (leave, attendance, code of conduct, etc.).
- Serve as the first point of contact for employee queries and concerns.
Attendance & Leave
- Maintain attendance and leave records for all staff, including field and site teams.
- Prepare monthly attendance inputs for payroll and verify them before processing.
- Track leave balances, overtime and holidays, and flag irregularities.
Labour Law & Statutory Compliance
- Act as the point of contact for the labour law consultant and coordinate all compliance activity.
- Ensure timely filing and payment of PF, ESI, Professional Tax and other applicable statutory obligations.
- Maintain registers, returns and documents required under applicable labour laws, and stay ready for inspections or audits.
- Alert management to changes in labour regulations that affect the company.
Employee Records
- Maintain accurate employee files (KYC, contracts, certificates, salary and appointment records) in physical and digital form.
- Maintain the employee master database and keep it current.
- Keep records confidential and organised.
Exit Formalities
- Manage resignations and terminations end to end: acceptance, notice period tracking, handover and exit interviews.
- Coordinate clearance of company assets, ID cards, access and dues.
- Prepare full and final settlement inputs, relieving and experience letters.
- Ensure PF and other statutory exits are completed.
Other Responsibilities
- Prepare MIS reports on headcount, attrition, attendance and admin expenses for management.
- Support the founder with documentation, agreements, licences and registrations.
- Help build and improve SOPs for admin and HR processes.
- Coordinate company events, team meetings and employee engagement activities.
- Handle any other administrative task assigned by management.
Requirements
- Graduate in any discipline (a degree or diploma in HR/Business Administration is a plus).
- 4-5 years of experience in office administration, HR operations or similar.
- Working knowledge of Indian labour laws and statutory compliance (PF, ESI, PT, Shops & Establishment Act, etc.).
- Proficiency in MS Excel, Word and email; experience with HRMS/attendance software is a plus.
- Valuable written and spoken English and Kannada, Hindi or another local language is preferred.
- Strong organisation, follow-up and time-management skills.
- Integrity and discretion when handling confidential employee and company information.
- Comfortable dealing with vendors, consultants and staff at all levels.
