Accountant Duties

- Maintain daily accounting entries for cash, bank, purchases, sales, expenses, receipts and payments.

- Prepare and maintain cash book, bank book and ledger accounts.

- Handle accounts payable and receivable and follow up on outstanding payments.

- Verify purchase invoices, bills, receipts and supporting documents.

- Perform bank reconciliation and identify discrepancies.

- Assist with monthly closing and financial reports.

- Maintain proper records for GST, TDS and other statutory requirements.

- Coordinate with management, auditors and other departments for accounting requirements.

- Monitor expenses and payment schedules.

- Maintain organized physical and digital accounting records.

Purchase Duties

- Receive purchase requirements/indent from departments or branches.

- Identify and communicate with suppliers/vendors for quotations.

- Compare price, quality, availability and delivery terms.

- Negotiate with suppliers for better rates and payment terms.

- Prepare Purchase Orders (POs)



after approval.

- Follow up with suppliers for timely delivery.

- Verify received materials against the PO, invoice and delivery documents.

- Coordinate with stores/warehouse for GRN and stock updates.

- Maintain vendor database, quotations, POs and purchase records.

- Handle purchase-related discrepancies, shortages, damages and returns.

Combined Responsibilities

- Coordinate between Accounts, Purchase, Stores and Management.

- Ensure purchases are properly documented before payment processing.

- Check PO → GRN → Invoice matching before submitting bills for payment.

- Maintain proper control over vendor payments and outstanding balances.

- Prepare regular purchase and expense reports for management.

- Ensure purchases are made according to company policies and approved budgets.

- Use Excel/accounting software/ERP for maintaining records and reports.
