EVENT MANAGEMENT SPECIALIST

About the Role
We are looking for an Event Management Specialist to join our team in Gurgaon. The role will be responsible for planning, coordinating, and executing TAB’s events, training programs, workshops, meetings, conferences, and promotional activities.
The ideal candidate should be highly organized, proactive, detail-oriented, and comfortable managing multiple activities simultaneously. You will work closely with internal teams, TAB coaches, business owners, speakers, vendors, and external partners to ensure every event is executed smoothly and delivers a high-quality participant experience.
This is a hands-on role that involves both planning and on-ground execution.
Key Responsibilities
1. Event Planning & Execution
Plan and coordinate corporate events, workshops, training programs, conferences, board meetings, and networking events.
* Manage the complete event lifecycle from planning to execution and post-event closure.
* Coordinate venues, seating arrangements, food & beverages, AV requirements, branding, transportation, accommodation, and other logistics.
* Prepare event checklists, timelines, schedules, run-of-show documents, and execution plans.
* Ensure smooth on-site execution and troubleshoot issues as they arise.
2. Vendor & Partner Management
* Identify, coordinate, and manage event vendors and service providers.
* Coordinate with hotels, venues, caterers, photographers, printers, AV teams, decorators, and other suppliers.
* Obtain quotations, compare options, coordinate negotiations, and track vendor deliverables.
* Ensure vendors deliver as per agreed timelines, quality standards, and budgets.
3. Training & Workshop Support
* Coordinate logistics for TAB training programs,
workshops, masterclasses, and learning sessions.
* Work closely with trainers, facilitators, speakers, and internal stakeholders.
* Prepare training rooms, presentation equipment, participant kits, name badges, certificates, and other materials.
* Coordinate participant communication before, during, and after training programs.
4. Participant & Attendee Management
* Manage event registrations and attendee lists.
* Communicate event details, schedules, reminders, and updates to participants.
* Handle attendee queries and ensure a smooth registration and check-in experience.
* Maintain accurate participant databases and attendance records.
* Collect feedback and identify areas for improvement.
5. Event Marketing Support
* Support promotional activities for TAB events and programs.
* Coordinate with the marketing team for event creatives, invitations, email campaigns, WhatsApp communication, and social media promotion.
* Assist with registration campaigns and attendee outreach.
* Maintain an updated event calendar and track registration progress.
6. Budget & Documentation
* Prepare and maintain event budgets and expense trackers.
* Track vendor payments, invoices, and event-related expenses.
* Maintain event documentation, vendor databases, checklists, and post-event reports.
* Prepare basic MIS and event performance reports.
7. Post-Event Activities
* Coordinate post-event feedback collection.
* Prepare event closure reports and key learnings.
* Track attendance, registrations, engagement, and feedback.
* Maintain records for future events and improve processes based on learnings.
Required Skills & Qualifications
* 1–3 years of experience in event management, corporate events, training coordination, conference management, or a related role**.
* Strong event planning and coordination skills.
* Excellent communication and interpersonal skills.
* Strong vendor and stakeholder management abilities.
* Good organizational and time-management skills.
* Ability to manage multiple events and priorities simultaneously.
* Strong attention to detail and problem-solving ability.
* Comfortable with on-ground event execution and working flexible hours when required for events.
* Basic understanding of event marketing, registrations, and attendee engagement.
* Good working knowledge of MS Excel/Google Sheets, PowerPoint, Word, Google Workspace, and event/registration tools.
* Ability to prepare presentations, checklists, trackers, and event reports.
* Bachelor's degree in Event Management, Business, Marketing, Communications, Hospitality, or a related field is preferred.

Compensation & Location
*Salary: ₹25,000 – ₹30,000 per month, depending on experience and suitability.
*Location: Gurgaon, Haryana
*Work Mode: Full time, on-site
