ROLE PURPOSE
The Apparel Production Merchandiser will manage the complete order cycle from buyer requirement and sampling through bulk production and dispatch.
The role will be the key link between the buyer, sampling team, pattern master, sourcing, production, QA/QC and factory management, ensuring buyer requirements are correctly interpreted and executed.
A major responsibility of this position is sampling ownership. The merchandiser must be technically capable of reading buyer tech packs and working directly with pattern masters, tailors and the sampling team to develop accurate samples quickly and minimise repeated sampling, rework and avoidable costs.
KEY RESPONSIBILITIESBuyer Requirements & Tech Pack Interpretation
- Receive, study and interpret buyer tech packs, measurement/spec sheets, BOMs, construction details, artwork, wash requirements and quality standards.
- Clarify incomplete or conflicting buyer requirements before starting sampling or production.
Sampling Ownership
- Own the complete sampling process for assigned buyers/styles.
- Coordinate development, proto, fit, salesman, size-set, wash, photo-shoot and PP samples, as applicable.
- Sit with the pattern master and sampling tailors to explain construction, measurements and buyer requirements.
- Check samples against the tech pack/specification before they are submitted to the buyer.
- Maintain sample trackers covering sample request date, sample type, submission date, buyer comments, rejection/rework reason and approval status.
- Ensure buyer comments from each sample round are properly understood and incorporated into the next sample.
- Control repeated sampling by identifying the actual reason for rejection and resolving technical issues before resubmission.
- Coordinate availability of sampling fabric, trims, accessories, labels, embroidery, printing, washing and other processes.
Pre-Production & Planning
- Ensure approved samples, latest tech packs and buyer comments are properly handed over to production.
- Coordinate PP meetings and ensure the factory has all required approvals before bulk production starts.
- Prepare and maintain Time & Action (T&A;) calendars for each order.
- Coordinate fabric and trim requirements, consumption, BOM and material readiness.
- Work with costing/accounts/production teams on consumption, CM/CMT and external processing costs.
Production Follow-up & Quality
- Follow each order from production start through cutting, stitching, washing/value addition, finishing, packing and dispatch.
- Track production progress daily and escalate delays or problems affecting quality, cost or delivery.
- Coordinate with QA/QC for inline, end-line and final quality requirements.
- Ensure correct wash-care labels, size labels, brand labels, hangtags, packaging and buyer-specific requirements.
- Coordinate final inspection and dispatch readiness.
Documentation, Reporting & Communication
- Maintain complete style files including buyer PO, tech pack, BOM, samples, approvals, buyer comments, costing and production information.
- Provide accurate WIP/order status reports to management.
- Maintain professional communication with buyers regarding samples, approvals, production status and delivery.
SAMPLING ACCOUNTABILITY
The merchandiser will be specifically accountable for sample accuracy, sampling turnaround time and number of sampling iterations. Sending an incorrect sample and simply waiting for buyer comments will not be considered acceptable merchandising practice. The merchandiser is expected to internally check measurements, construction, fabric/trims, workmanship and buyer comments before submission.
KEY PERFORMANCE INDICATORS
Area
Key Performance Indicators
Sampling
First-time sample accuracy; sample TAT; number of resubmissions/rejections; buyer-comment closure; PP approval achieved within the planned timeline
Production
T&A; adherence; material readiness; merchandising-related production errors; on-time delivery; buyer complaints
CANDIDATE REQUIREMENTS
- Strong practical knowledge of garment construction, measurements, patterns, fabrics, trims, stitching operations, washing and finishing.
- Ability to independently read and interpret detailed buyer tech packs.
- Experience working inside an apparel manufacturing setting.
- Comfortable spending significant time on the sampling and production floor.
- A fashion design qualification is an advantage but not mandatory. Practical sampling, technical merchandising and production knowledge are more important than pure designing experience.
