About the Event
The Blooming Voices is a large-scale singing competition and live entertainment event organized by Stage Bloom in Toronto, Canada. Our previous Toronto Special featured 20 performers and an audience of 900+ people.
We are looking for an Event Manager who can take ownership of the day-to-day planning and execution of the upcoming event from scratch and coordinate the different people working on it.
Responsibilities
- Manage the overall event timeline, task list, deadlines, and follow-ups.
- Coordinate with our graphic designer and provide them with poster content and instructions for posters or revisions.
- Use ChatGPT to help create professional poster content, captions, messages, emails, and other event material.
- Review our previous social media work to understand our style and create catchy captions accordingly.
- Post approved posters, announcements, performer content, sponsor content, and updates on our social media.
- Coordinate with our website handler for event pages, performer information, voting, sponsors, updates, and required website changes.
- Manage the Sponsorship Coordinator, regularly follow up on their progress, and make sure outreach and follow-ups are being completed.
- Research potential sponsor leads and create organized Excel/Google Sheets lead lists for the Sponsorship Coordinator. For example: research music academies in Brampton and provide business names, phone numbers, websites, and other useful contact information.
- Manage performer registrations and maintain accurate performer information.
- Manage the performer WhatsApp group, send announcements and reminders, answer questions, and keep performers informed.
- Use ChatGPT when needed to make performer responses professional, clear, encouraging, and consistent.
- Follow up with performers for missing forms, payments, photos, songs, information,
or other requirements from the performers.
- Keep event documents, spreadsheets, contact lists, registrations, and important information properly organized.
- Coordinate with venue, production, photography/video, vendors, volunteers, staff, and other event partners when required.
- Make sure sponsor logos, performer information, posters, website updates, banners, screens, and other event materials are completed correctly and on time.
- Help coordinate ticket promotion and performer-led ticket sales.
- Prepare schedules, checklists, run-of-show information, and other operational documents leading up to the event.
- Identify unfinished work or upcoming deadlines without waiting to be reminded about every task.
- Handle any other reasonable event-related tasks assigned by Stage Bloom.
What We're Looking For
We need someone who is organized, responsible, responsive, and comfortable taking ownership.
You should be comfortable working with ChatGPT, WhatsApp, Instagram, Google Sheets/Excel, email, Google Drive, etc.
Strong written and spoken English is required because you will regularly communicate with performers, businesses, sponsors, vendors, and members of our team.
Most importantly, we are looking for someone who can be given an objective and get the work done independently, follow up with other team members, and keep the entire event moving without requiring constant supervision.
Pay: ₹300,000.00 - ₹450,000.00 per year
