Purchase & Field Procurement Officer – Biomass Raw Materials

About the Company
Grams and Kiloz Pvt Ltd is an established agri-commodity trading and processing company expanding into the renewable energy sector with a 5 TPH biomass pellet manufacturing plant at SIPCOT, Manamadurai.
We are looking for a highly active and result-oriented Purchase & Field Procurement Officer to develop and manage the raw-material procurement network for our biomass pellet manufacturing plant.
The candidate will be responsible for finding biomass sources, developing suppliers, negotiating prices, inspecting material, arranging transportation and ensuring continuous supply to the factory.
Job Summary
The selected candidate will primarily focus on procurement of biomass raw materials such as:
- Prosopis Juliflora
- Maize cobs
- Cotton stalks
- Paddy residues
- Agricultural waste
- Wood/forestry residues
- Other suitable biomass materials
The candidate must be willing to travel extensively in and around Southern Tamil Nadu to identify new suppliers and raw-material sources.
Key Responsibilities1. Field Procurement
- Identify new sources of biomass raw materials.
- Visit villages, agricultural areas, traders, aggregators, sawmills, farmers, contractors and biomass suppliers.
- Develop a strong network of local suppliers.
- Identify seasonal and year-round biomass availability.
- Conduct regular field visits to procurement locations.
- Build long-term relationships with suppliers.
2. Supplier Development
Develop and maintain a database of:
- Farmers
- Biomass aggregators
- Local traders
- Contractors
- Wood suppliers
- Agricultural residue suppliers
- Sawmills
- Rice mills
- Maize traders
- Cotton traders
- Other biomass collection centres
Maintain supplier information including:
Supplier → Location → Material → Availability → Quantity → Rate → Moisture → Transportation Cost → Delivered Cost
3. Raw Material Price Negotiation
- Negotiate competitive purchase prices.
- Compare supplier rates from different locations.
- Calculate delivered cost to Manamadurai plant.
- Negotiate loading, unloading and transportation charges.
- Monitor daily/weekly market prices.
- Identify opportunities for lower-cost procurement.
- Maintain price comparison reports.
4. Raw Material Quality Inspection
Before purchasing material, inspect:
- Moisture
- Foreign materials
- Soil/sand contamination
- Size
- Density
- Freshness
- Quality consistency
- Estimated GCV
- Storage condition
Ensure that poor-quality or contaminated biomass is not purchased without approval.
5. Moisture & Delivered Cost Control
The candidate should understand that purchase price alone is not the actual cost.
Calculate:
Material Purchase Price + Loading + Transportation + Unloading + Processing Loss = Effective Delivered Cost
Monitor moisture and material losses to determine the actual cost per MT.
6. Procurement Planning
Work closely with the Plant Manager and Management to understand:
- Daily raw-material requirement
- Weekly requirement
- Monthly requirement
- Current stock
- Production plan
- Future requirements
Ensure sufficient raw material is available at the plant without unnecessarily blocking working capital.
7. Transportation & Logistics
Coordinate with transporters for:
- Vehicle availability
- Truck placement
- Loading
- Weighment
- Transit
- Unloading
- Delivery to plant
Track:
- Vehicle number
- Supplier
- Loading location
- Quantity
- Arrival time
- Weighbridge quantity
- Unloading quantity
Minimize transportation cost per MT.
8. Purchase Documentation
Coordinate with the Accounts/Finance team to ensure proper documentation for every purchase.
Maintain:
- Supplier details
- Purchase orders
- Purchase bills
- Delivery challans
- Weighbridge slips
- Transport bills
- Payment details
- Material quality records
9. Stock & Supply Monitoring
Work closely with the Plant Manager and Stores team to monitor:
- Opening stock
- Daily receipts
- Daily consumption
- Closing stock
- Supplier-wise receipts
- Material-wise stock
- Pending deliveries
Immediately report potential raw-material shortages to Management.
10. Market Intelligence
Continuously collect information regarding:
- Biomass availability
- Seasonal availability
- Local market prices
- Competitor buying prices
- New suppliers
- New biomass sources
- Crop harvesting cycles
- Transportation rates
Submit regular field procurement reports to Management.
Target Procurement Area
The primary procurement focus will be Southern Tamil Nadu and surrounding regions, including areas around:
- Sivaganga
- Manamadurai
- Madurai
- Ramanathapuram
- Paramakudi
- Virudhunagar
- Dindigul
- Pudukkottai
- Tiruchirappalli
- Thoothukudi
- Other locations based on delivered-cost economics
The candidate should be willing to travel extensively depending on raw-material availability.

Candidate Profile
We are looking for a field-oriented and commercially aggressive procurement professional.
The candidate should:
- Enjoy travelling and meeting suppliers.
- Have strong negotiation skills.
- Be comfortable visiting rural areas and agricultural markets.
- Have strong local contacts/network.
- Be able to independently identify new raw-material sources.
- Have good knowledge of agricultural commodities or biomass.
- Be comfortable using WhatsApp, Excel and mobile applications for reporting.
- Have good communication skills in Tamil.
- Be capable of working with farmers, traders, contractors and transporters.
Preferred Experience
Experience in any of the following will be preferred:
- Biomass procurement
- Biomass pellets/briquettes
- Agricultural commodity procurement
- Rice mills
- Maize procurement
- Cotton procurement
- Wood/forest-product procurement
- Agro-processing
- Feed industry
- Scrap/industrial raw-material procurement
- Commodity trading
Direct biomass procurement experience will be an advantage.
Qualification
- Any Graduate
- B.Com / BBA / B.Sc Agriculture
- Diploma / Degree in Agriculture or related field
- Candidates with strong field procurement experience may be considered irrespective of qualification.
Experience
2–5 years of relevant experience preferred.
Candidates with strong agricultural commodity procurement experience and excellent local networks may also be considered.
Salary
₹2,50,000 – ₹5,00,000 per annum, depending on experience and suitability.
Performance-based incentives may be provided based on procurement volume, cost savings and supplier development.
Travel
This is a field-intensive position.
The candidate should be willing to travel regularly across Southern Tamil Nadu.
Travel allowance / fuel expenses will be provided as per company policy.
Two-wheeler and valid driving licence preferred.
