Role & responsibilities

The Academic Counsellor will serve as an important link between students, parents, teachers and the school leadership.

The counsellor will guide parents in selecting the appropriate class and learning support for their child, explain the schools academic and sports programmes clearly, support the admission process and help existing students overcome academic, behavioural and adjustment-related difficulties.

This position requires patience, empathy, strong communication skills and a genuine commitment to student development.

Key Responsibilities

1. Parent and Admission Counselling

- Attend enquiries received through school visits, telephone calls, the website and other authorised channels.
- Understand the childs age, previous schooling, academic level, interests and specific needs.
- Explain the schools academic system, sports facilities, fee structure, transport facility, timings and admission procedure accurately.
- Conduct school tours for prospective parents and students.
- Follow up with interested parents in a polite and professional manner.
- Assist parents in completing admission and registration formalities.
- Maintain complete and accurate records of enquiries, follow-ups, visits and admissions.
- Ensure that parents are not given unrealistic promises or misleading information merely to secure admission.

2. Academic Guidance

- Help parents understand the curriculum, assessment pattern, homework system and expected learning outcomes.
- Coordinate with teachers to identify students who require additional academic support.
- Guide parents regarding age-appropriate learning habits, attendance, regular study and home support.
- Assist in preparing suitable academic-support or improvement plans for students.
- Track the progress of students receiving additional support.
- Help students develop confidence, study habits, communication skills and interest in learning.

3. Student Counselling and Well-being

- Provide basic counselling to students experiencing adjustment, confidence, attendance, behavioural or academic difficulties.
- Create a comfortable environment where students can express their concerns.
- Observe recurring student concerns and discuss them confidentially with the Principal and concerned teachers.
- Support students during their transition into a new class or school setting.
- Encourage discipline through positive guidance instead of fear or humiliation.
- Refer serious psychological, medical, safety or child-protection concerns to the Principal and qualified professionals.
- Maintain confidentiality while following the schools child-safety and reporting policies.

4. Academic and Sports Orientation





- Explain the schools vision of giving balanced importance to academics and sports.
- Help identify students interests in activities such as swimming, archery, shooting, badminton, athletics, cricket, football and other planned sports.
- Coordinate with teachers and sports coaches to understand each childs participation, aptitude and progress.
- Counsel parents against creating unnecessary pressure for either academic marks or sports performance.
- Encourage students to participate according to their interests, ability and age.

5. Parent–Teacher Coordination

- Act as a communication bridge among parents, teachers, coordinators and the Principal.
- Assist in organising parent orientation programmes and Parent–Teacher Meetings.
- Record important parent concerns and ensure that they reach the appropriate department.
- Follow up on agreed academic or behavioural action points.
- Communicate sensitive matters calmly, respectfully and factually.
- Help resolve minor misunderstandings before they develop into larger complaints.

6. Records and Reporting

- Maintain enquiry, admission, counselling and follow-up records in Excel or the school ERP.
- Prepare daily, weekly and monthly reports on:
- New enquiries
- Follow-up calls
- School visits
- Applications received
- Admissions confirmed
- Common parent concerns
- Student counselling cases
- Pending follow-up actions
- Protect students’ and parents’ personal information.
- Provide data-based feedback to the Principal for improving academics, admissions and parent satisfaction.

7. School Events and Outreach

- Support admission campaigns, orientation programmes, open-house events and school visits.
- Assist in preparing accurate information material for parents.
- Participate in academic exhibitions, sports events and student-development programmes.
- Help collect structured feedback from parents and students.
- Represent the school professionally during all interactions.

Performance Indicators

Performance will be evaluated based on:

- Accuracy and quality of counselling provided to parents.
- Timely and professional follow-up of enquiries.
- Conversion of genuine enquiries into suitable admissions without misleading commitments.
- Quality and completeness of records and reports.




- Parent satisfaction and complaint-handling ability.
- Improvement in supported students’ attendance, adjustment and academic participation.
- Coordination with teachers and school leadership.
- Professional conduct, punctuality and confidentiality.

Preferred candidate profile

Required Qualifications

- Bachelor’s degree in Education, Psychology, Child Development, Social Work, Humanities, Science, Commerce or a related field.
- A postgraduate degree, B.Ed., counselling qualification or child-psychology training will be preferred.
- Relevant experience in a school, educational institution, admission office or counselling role will be an advantage.
- Fresh candidates with excellent communication skills, maturity and an aptitude for counselling may also be considered.

Required Skills

- Strong communication in Hindi and English.
- Ability to communicate in the local language will be an advantage.
- Good listening, counselling and interpersonal skills.
- Patient, polite and child-friendly approach.
- Ability to explain academic and fee-related information clearly.
- Basic knowledge of MS Word, Excel, email and digital record-keeping.
- Good follow-up and documentation skills.
- Ability to handle difficult conversations without becoming argumentative.
- Professional appearance, punctuality and emotional maturity.
- Understanding of confidentiality and child protection.

- Be willing to understand both academic and sports programmes.
- Be able to work collaboratively with the Principal, teachers, sports coaches and administrative team.
- Be willing to work at the school’s Pariauna campus near Bihar Sharif.
