A Personal Secretary (PS) provides dedicated administrative and personal support to an individual, such as a Managing Director, CEO, business owner, or senior executive. The role extends beyond office administration and often includes coordinating both professional and personal commitments.
Key Duties and Responsibilities
1. Calendar & Appointment Management
◦ Maintain the executive's daily schedule.
◦ Arrange meetings, appointments, and reminders.
◦ Prioritize commitments based on urgency.
2. Correspondence
◦ Screen phone calls, emails, and messages.
◦ Draft letters, emails, and official communications.
◦ Handle confidential correspondence.
3. Travel Coordination
◦ Book flights, hotels, and local transportation.
◦ Prepare travel itineraries and required documents.
◦ Manage travel reimbursements and expenses.
4. Meeting Management
◦ Schedule meetings and prepare agendas.
◦ Take minutes and circulate action points.
◦ Follow up on pending tasks.
5. Document Management
◦ Prepare reports, presentations, and spreadsheets.
◦ Maintain physical and digital filing systems.
◦ Safeguard confidential documents.
6. Office Coordination
◦ Coordinate with departments, clients, vendors, and government offices.
◦ Monitor deadlines and ensure timely completion of assignments.
7. Personal Assistance
◦ Assist with personal appointments and errands when required.
◦ Manage family or personal schedules, if assigned.
◦ Coordinate personal travel and events.
8. Confidentiality
◦ Handle sensitive business and personal information with complete discretion.
9. Follow-up & Coordination
◦ Track important projects and commitments.
◦ Remind the executive of deadlines and pending approvals.
◦ Coordinate with teams to ensure timely execution.
10. Administrative Support
◦ Maintain office records and databases.
◦ Prepare expense statements.
◦ Perform other duties assigned by the executive.
Required Skills
• Excellent written and verbal communication

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace

The qualifications and experience required for a Personal Secretary depend on the seniority of the executive and the nature of the organization. A typical requirement is:
Educational Qualifications
• Bachelor's degree in Business Administration, Commerce, Arts, Management, or a related field.
• A postgraduate qualification (MBA or Master's degree) is an added advantage.
• Certification in Secretarial Practice, Office Administration, or Executive Assistance is desirable.
Experience
• 3–5 years of experience as a Personal Secretary, Executive Assistant, Executive Secretary, or Administrative Officer.
• For supporting a CEO, Managing Director, or business owner, 5–10 years of relevant experience is preferred.
• Experience in handling confidential documents, coordinating with senior management, and managing multiple priorities.
Technical Skills
• Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Familiarity with Google Workspace.
• Ability to prepare professional correspondence, reports, and presentations.
• Knowledge of video conferencing platforms and digital document management.
• Basic accounting or ERP software knowledge is an advantage.
