JOB DESCRIPTION – SHOWROOM ADMIN

Position: Showroom Admin

Department: Administration / Operations

Industry: Furniture Retail

Location: Showroom

Reports To: Showroom Manager / Operations Manager / HR

Job SummaryThe Showroom Admin will be responsible for managing the day-to-day administrative and operational activities of the furniture showroom. The role involves maintaining showroom records, coordinating with sales and support teams, monitoring attendance and housekeeping, handling documentation, and ensuring smooth day-to-day showroom operations.

Key Responsibilities1. Showroom Administration

- Manage the daily administrative activities of the showroom.
- Ensure the showroom is clean, organized, and operational at all times.
- Maintain showroom files, registers, documents, and records.
- Monitor office supplies, stationery, and other administrative requirements.
- Coordinate with HO for administrative requirements and approvals.
- Ensure all showroom facilities and basic operational requirements are properly maintained.

2. Attendance & Staff Coordination

- Monitor daily attendance, late coming, permissions, and leave of showroom staff.
- Coordinate with HR regarding attendance discrepancies and employee-related matters.
- Maintain staff attendance and permission records.
- Ensure employees follow company policies, grooming standards, uniforms, and discipline.
- Support the showroom manager in coordinating staff schedules and daily requirements.

3. Sales & Operational Support

- Provide administrative support to the showroom sales team.
- Coordinate with sales, delivery, purchase, warehouse, and service teams whenever required.
- Assist in maintaining customer-related documents and showroom records.
- Coordinate for product availability, display requirements, and internal operational needs.
- Follow up on pending administrative and operational issues with the concerned departments.

Documentation & Record Maintenance

- Maintain invoices, delivery documents, purchase-related records, service documents, and other showroom records.
- Ensure documents are properly filed and easily accessible.
- Maintain daily/weekly/monthly administrative reports.
- Prepare and submit reports to the Showroom Manager / HO as required.

5. Inventory & Stationery Coordination

- Monitor showroom stationery and consumable requirements.
- Coordinate with the purchase/warehouse team for required materials.
- Maintain records of showroom assets, furniture, equipment, and other company properties.
- Report any damaged, missing, or non-functional items to the concerned authority.

6. Customer & Delivery Coordination

- Assist in coordinating customer-related administrative requirements.
- Coordinate with delivery and service teams regarding pending customer requirements when necessary.
- Maintain records related to deliveries, complaints, service requests, and follow-ups as assigned.
- Escalate customer-related operational issues to the concerned manager.

7. Housekeeping & Facility Management

- Monitor housekeeping and overall showroom cleanliness.
- Ensure washrooms, staff areas, customer areas, and display areas are maintained properly.
- Coordinate for repairs, maintenance, electrical, plumbing, AC, lighting, and other facility requirements.
- Report facility issues to the concerned department and follow up until closure.

8. Compliance & Discipline

- Ensure showroom employees follow company rules,



policies, and procedures.
- Monitor adherence to showroom opening and closing timings.
- Ensure proper handling of company assets and documents.
- Immediately report any serious disciplinary or operational issue to the Showroom Manager / HR.
- Daily ResponsibilitiesCheck staff attendance and showroom opening readiness.
- Verify housekeeping and showroom cleanliness.
- Check basic facility and maintenance requirements.
- Coordinate staff requirements and operational issues.
- Update daily records and reports.
- Follow up on pending deliveries, service issues, and administrative requirements.
- Coordinate with HO and other departments as required.
- Skills & CompetenciesGood communication and interpersonal skills.
- Strong administrative and coordination skills.
- Valuable knowledge of MS Excel and MS Office.
- Ability to maintain records and documentation accurately.
- Good follow-up and problem-solving skills.
- Ability to coordinate with multiple departments.
- Attention to detail and time-management skills.
- Ability to handle staff and operational issues professionally.
- Qualification & ExperienceAny Bachelor's degree / Diploma in Administration, Business Administration, HR, or a related field.
- 1–4 years of experience in showroom administration, retail administration, office administration, or a similar role.
- Experience in the furniture retail / retail industry will be an added advantage.
