Overall Purpose of The Job To drive improvement on managed vessel payments to group companies by managing a centralized query and dispute function.

Key Responsibilities And Tasks

- Support query team members in their day to day tasks
- Expand knowledge to encompass all group companies' basic processes to support query resolution
- Ensure that all Query team processes are documented and SOP’s maintained as process develops
- Ensure that all team members are cross trained to deliver seamless support during times of leave or absence
- Create and Maintain a shared mailbox dedicated to query and dispute resolution




- Create/Maintain contact matrix for both vessel and entity side
- Actively engage with vessel finance to be aware of common queries and associated fixes on vessel side
- Actively engage with group companies to be aware of common queries and associated fixes on entity side
- Proactively pick up and log queries based on SS status
- Log queries and disputes raised in ship management cash calls
- Ensure all details of query have been provided and follow up for missing details
- Reach out to appropriate contact in Entity ops/purchasing etc to make them aware of query
- Continue to follow up with relevant contact until query is resolved
- Escalate any queries which are not getting resolved within reasonable/agreed timelines
- Maintain and update FAQ document to create a database of queries and resolutions
- Develop reporting in cooperation with the reporting team to publish statistics on queries to the business to highlight process or knowledge gaps
- Continual improvement and process development
