Role & responsibilities The Accounts & Compliance Executive is responsible for the day-to-day accounting operations of the company, including vendor invoice processing, bank and cash accounting, payroll booking and payments. The role also owns periodic reconciliations, statutory compliance (GST, TDS, PF, ESIC and Professional Tax), and coordination with debtors, vendors and auditors.
At mid-level, the incumbent is expected to work independently on routine and month-end activities and resolve queries with minimal supervision, escalating only exceptions and policy matters.
2. Key Responsibilities
A. Accounting
Payables and vendor invoice processing
- Verify and book vendor invoices and bills in the ERP (SAP).
- Prepare payment sheets and process bank payments.
- Post purchase-related entries, including goods receipts, service invoices and PO-based invoices.
Receipts, bank and cash accounting
- Post bank statement entries.
- Record cash payments and maintain the cash payment register.
Payroll and other periodic bookings
- Book monthly salary and related payroll accounting.
B. Reconciliation
- Branch and inter-company: Match balances and transactions across branches and group companies.
- Control accounts: Keep the GRNI and other control/clearing accounts accurate and free of aged, unresolved items.
C. Stakeholder Management
Receivables and payables
- Debtors: Follow up with debtors for payments and resolve payment-related queries. Reconcile customer balances and ageing with ledgers.
- Vendors: Act as the point of contact for vendor invoices, payment status and reconciliation queries. Reconcile vendor accounts and statements with the books.
D. Statutory Compliance
Indirect tax (GST)
- Reconcile GSTR-2B with SAP entries and physical bills, and follow up on mismatches.
- Prepare working and support filing of monthly GST returns, using the reconciled GSTR-2B data.
- Prepare data and working papers for GST audit and respond to related queries.
Direct tax (TDS)
- Compute TDS, and prepare and support monthly deposit and return filing data.
Preferred candidate profile
- Education: Bachelors degree in Commerce (B.Com) or equivalent; M.Com, MBA (Finance) or inter-level CA/CMA is an advantage.
- Experience: 3 to 6 years in accounts, with hands-on exposure to payables, reconciliations and statutory compliance.
- Industry: Prior experience in a manufacturing, trading or agri-based business with multiple branches or group entities is preferred.
4. Skills and Competencies
Technical
- Working knowledge of SAP (or a similar ERP) for invoice booking, GRPO/GRNI and bank entries.
- Sound understanding of GST (returns, GSTR-2B reconciliation, IGST refunds), TDS, PF, ESIC and Skilled Tax.
- Strong reconciliation skills across debtors, vendors, branches, inter-company and bank accounts.
- Good working knowledge of MS Excel (lookups, pivot tables, data matching).
- Familiarity with audit processes, including statutory, internal, stock and GST audits.
Behavioural
- Accuracy and attention to detail, with the ability to work to monthly deadlines.
- Ability to work independently and take ownership of assigned areas.
- Clear written and verbal communication for dealing with debtors, vendors and auditors.
- Team-player attitude, with the ability to coordinate smoothly with colleagues across departments.
- Integrity and confidentiality in handling financial and payroll data.
5. Working Relationships
- Reports to: Accounts Manager / Head of Finance, for guidance, approvals and escalations.
- Internal: Branches, group companies, purchase and stores teams, and management.
External: Debtors, vendors
